We are looking for a highly organized and proactive Personal Assistant / Executive Assistant to support Rapid Rashmi in managing day-to-day activities across her podcast (Just Curious), fashion brand (Radha by Rapid Rashmi), and events (Seere Santhe). The role requires excellent coordination, communication, and multitasking abilities in a fast-paced environment.
Key Responsibilities:
1 Calendar & Schedule Management
- Manage daily calendar, appointments, and meetings
- Coordinate and prioritize schedules across shoots, meetings, events, and personal commitments
- Ensure no scheduling conflicts and manage rescheduling when required
2 Communication & Coordination
- Act as a point of contact between Rapid Rashmi and internal/external stakeholders
- Handle calls, emails, and messages professionally
- Coordinate with brands, agencies, vendors, and clients
3 Shoot & Content Coordination
- Assist in planning and coordinating podcast shoots and content schedules
- Manage guest coordination, confirmations, and logistics
- Ensure smooth execution of shoots and timely readiness
4 Travel & Logistics Management
- Handle travel bookings including flights, hotels, and local transport
- Prepare detailed travel itineraries
- Manage last-minute changes and troubleshoot issues
5 Event & On-Ground Support
- Coordinate for events, exhibitions, and brand activities (Seere Santhe, brand promotions)
- Liaise with vendors and ensure smooth execution
- Provide on-ground support during events if required
6 Task & Priority Management
- Manage multiple tasks simultaneously and ensure timely completion
- Follow up on pending tasks and commitments
- Ensure nothing is missed in day-to-day operations
7 Vendor & Stakeholder Management
- Coordinate with vendors for shoots, events, and brand requirements
- Maintain professional relationships with partners and stakeholders
- Handle basic negotiation and follow-ups
8 Confidentiality & Documentation
- Handle sensitive personal and business information with confidentiality
- Maintain records, documents, and important information
Key Requirements:
- 2–5 years of experience as a PA/EA or in a similar coordination role
- Strong organizational and multitasking skills
- Excellent verbal and written communication
- Ability to work in a fast-paced and dynamic environment
- High level of discretion and professionalism
