Job Title: Tender, Sales Coordinator and Dispatch - Executive
Tendering duties, Sales support and Dispatch tracking into a single, comprehensive role.
Job Summary
We are seeking detail-oriented candidate to manage the full cycle of our tendering process and support to our sales operations. From identifying tender opportunities and submitting bids to coordinating order dispatches. Candidate have to serve as the crucial link between our clients, sales team, and internal logistics departments.
Job responsibilities :-
1. Tendering & Bidding
Identify Opportunities: Monitor e-tendering portals (e.g., GeM, CPPP) and private platforms daily to identify relevant bidding opportunities.
Document Preparation: Study tender documents (technical and commercial requirements) and coordinate with internal teams to gather necessary specifications, certificates, and pricing backup.
Bid Submission: Prepare, compile, and ensure the flawless, on-time submission of technical and commercial bids, both online and physically.
Follow-Ups & Tracking: Track submitted bids, participate in pre-bid meetings, manage post-tender clarifications with procurement departments, and record bid outcomes.
2. Sales Coordination & Follow-Ups
Customer Support: Act as the primary point of contact for clients, addressing inquiries, and maintaining strong professional relationships.
Order Processing: Process incoming purchase orders (POs), verify pricing/terms, and ensure seamless handover to the execution team.
Payment Follow-ups: Proactively follow up with clients and internal finance departments regarding payment collections and outstanding dues.
3. Dispatch & Logistics Management
Logistics Coordination: Coordinate with production, warehousing, and transport/logistics teams to arrange for timely dispatches.
Documentation: Prepare and verify dispatch documents, including commercial invoices, packing lists, delivery challans, and inspection reports.
Status Updates: Keep customers and the sales team continuously updated regarding dispatch dates, delivery timelines, and any potential delays.
Required Qualifications & Skills
Education:
BSC / Diploma or Bachelor’s degree in Electrical, Electronics, Industrial Electronics. Instrumentation Engineering (preferred), or Any Graduate / Bachelor’s degree in Business Administration, Marketing
Portal Expertise: Proficiency with the Government e-Marketplace (GeM) and central/state public procurement portals.
Technical Knowledge: Understanding of power electronics, PCB manufacturing, control panels, or turnkey electronic systems is a major advantage.Software Skills: Advanced MS Office (especially MS Excel for cost estimation) and PDF editing/formatting tools
Experience:· 2–5 years of proven experience in tendering, sales coordination, or dispatch management (experience with government e-tendering and GeM portal is highly preferred)
