Role Overview
We are seeking a sharp, highly organized, and proactive Executive Assistant (EA) to directly support our Founder and Director. The ideal candidate will act as the Director's right-hand, managing daily operations, streamlining communication, and ensuring that strategic priorities are executed seamlessly. This role demands high emotional intelligence, sharp problem-solving skills, and the ability to pivot quickly in a vibrant retail hospitality environment.
Key Responsibilities
1. Calendar & Schedule Management
- Manage and optimize the Director’s daily, weekly, and monthly calendar, prioritizing high-value meetings and protecting their time.
- Schedule internal meetings with bakery/cafe outlet managers, chefs, and corporate teams, as well as external meetings with vendors, landlords, and investors.
- Provide daily briefings on upcoming commitments, ensuring the Director is fully prepared with relevant agendas and documents.
2. Communication & Liaison
- Serve as the primary point of contact between the Director and internal/external stakeholders.
- Manage the Director’s inbox, draft professional emails, and handle sensitive or confidential information with absolute discretion.
- Track action items from meetings and ensure various departments deliver updates to the Director on time.
3. Operations & Travel Logistics
- Coordinate logistics for the Director’s frequent visits across different cafe and bakery locations in Mumbai.
- Manage end-to-end travel itineraries for business trips or sourcing tours, if required.
- Track, compile, and submit the Director’s business expenses and reimbursement claims.
Requirements & Qualifications
- Experience: 3 to 6 years of experience as an Executive Assistant, Personal Assistant, or Operations Coordinator. Experience in the hospitality, F&B, or retail sector is a massive plus.
- Education: Bachelor’s degree in Business Administration, Communications, Hospitality Management, or a related field.
- Location: Must be based in Mumbai and comfortable with occasional travel across the city for outlet visits.
Core Skills & Competencies:
- Exceptional verbal and written English.
- High proficiency in Google Workspace (Calendar, Docs, Sheets) or MS Office.
- Ability to multitask and prioritize a heavy workload without dropping the ball.
- Retail and F&B move fast. We need someone who stays calm under pressure and can handle last-minute changes with a smile.
Pay: ₹30,000.00 - ₹40,000.00 per month
