JOB DESCRIPTION FOR PROPERTY MANAGER
The Commercial Building Property Manager is responsible for the overall day-to-day management, operations, maintenance, and financial performance of a commercial property. The role ensures safe, compliant, cost-effective, and high-quality facility operations while maintaining strong relationships with tenants, vendors, and stakeholders. Key Responsibilities : 1. Property Operations & Maintenance • Oversee daily operations of the commercial building, ensuring optimal functionality of all systems. • Ensure preventive and breakdown maintenance of civil, electrical, mechanical, HVAC, plumbing, fire & life safety systems. • Maintaining and timely renewals of statutory compliance with local authorities and regulatory bodies (Fire NOC, electrical inspections, lifts, environmental norms, etc.). • Maintain service level agreements (SLAs) and key performance indicators (KPIs) for all facility services. • Ensure building aesthetics, cleanliness, landscaping, and common area upkeep. 2. Financial & Budget Management • Prepare and manage annual OPEX and CAPEX budgets for the property. • Monitor expenses, control costs, and optimize operational efficiency. • Validate vendor invoices, track expenditures, and ensure budget adherence. • Support CAPEX planning, execution, and closure in coordination with Capex and procurement teams. 3. Vendor & Contract Management • Manage, and evaluate facility service vendors (housekeeping, security, engineering, pest control, façade cleaning, etc.). • Ensure vendor compliance with statutory requirements, safety standards, and contract terms. • Conduct regular performance reviews and audits of service providers. 4. Tenant & Stakeholder Management • Act as the primary point of contact for tenants on all property-related matters. • Address tenant complaints, service requests, and escalation management. • Coordinate fit-out activities in line with building guidelines and handover protocols. • Conduct regular tenant meetings and ensure high occupant satisfaction. 5. Health, Safety & Compliance • Implement and monitor health, safety, and environmental (HSE) policies. • Conduct risk assessments, safety audits, and emergency preparedness drills. • Ensure compliance with company policies, client standards, and statutory regulations. • Drive continuous improvement in safety culture across the site. 6. Team Leadership & Administration • Lead and manage on-site facility teams and supervisors. • Ensure proper manpower planning, duty rosters, performance reviews, and training. • Creating and submitting the weekly MIS/MMR/QBR of site operations to client in time with accuracy. • Maintain documentation, SOPs, AMC records, drawings, warranties, and site registers. • Prepare and present MIS, dashboards, and monthly reports to management/client. 7. Asset & Lifecycle Management • Maintain asset registers for building infrastructure and equipment. • Monitor asset performance and plan replacement or upgrades. • Support sustainability initiatives, energy management, and cost reduction programs. Qualifications & Experience • Bachelor’s degree in Engineering (Civil / Mechanical / Electrical) or Facilities Management. • 8–10 years of experience in managing commercial buildings or business parks. • Strong understanding of building systems, statutory compliance, and facility operations. • Experience working with corporate clients and multinational tenants preferred.
