Job Title: HR & Admin Executive
- Reports To: Business Operations Manager / Managing Director

- Primary Objective: To manage the entire employee lifecycle across office, factory, and site divisions, while ensuring a highly organized, cost-efficient, and friction-free corporate head office environment.
Core Responsibilities1. End-to-End Human Resource Management
- Talent Acquisition: Source, screen, and interview candidates for technical site roles, factory positions, and design executives based on approved hiring requests.
- Onboarding & Offboarding: Manage formal employee documentation, reference checks, offer letter issuance, and standard exit protocols.
- Attendance & Leave Governance: Audit the biometric or application-based attendance logs for all 20 office executives and coordinate with factory/site supervisors to compile field rosters.
- Payroll Coordination: Calculate monthly payroll inputs, deductions, and performance bonuses, and pass verified data sheets to the Finance department on time.
- Labor & Statutory Compliance: Coordinate with external consultants to ensure smooth compliance with mandatory employee regulations (like PF, ESIC, and local labor laws) for the core workforce.
2. Soft Office Administration
- Facility & Workplace Housekeeping: Supervise cleaning staff and maintain a professional, neat, and client-ready head office presentation at all times.
- Asset & Stationery Sourcing: Monitor and procure office supplies, printing materials, pantry items, and IT hardware, keeping overhead costs lean.
- Travel & Expense Verification: Organize travel bookings for senior management or site visits, and verify executive travel allowance claims before approval.
- Vendor & Utility Management: Coordinate with office landlords, internet providers, utility companies, and maintenance technicians to ensure zero operational downtime.
- Visitor Hospitality: Manage front-desk communication, greet visiting clients or vendors professionally, and route incoming inquiries to the right verticals.
Candidate Profile & Experience
- Education: Bachelor’s degree in Human Resources, Business Administration (BBA/B.Com), or a related field. An MBA in HR or a Diploma in Personnel Management is a plus.
- Experience: 2 to 3 years of blended experience handling both HR tasks and basic office administration in a fast-paced SME, interior design studio, or manufacturing setup.
- Skills: Strong, empathetic communication style paired with professional firmness. High familiarity with MS Office tools (Excel, Word) and basic cloud-based HR/Attendance tools.
- Working Mindset: Highly resourceful and execution-focused. Able to handle personal executive data discreetly while comfortably interacting with factory laborers and elite design teams alike.
- Key Performance Indicators (KPIs)
- Time-to-Hire Ratio: Filling open, approved technical or executive vacancies within defined timelines
- Payroll Input Accuracy: Maintaining zero data errors in monthly attendance and leave submissions to the Finance team.
- Admin Cost Optimization: Keeping office utility and supply expenses strictly within monthly budgeted targets.
- On-Time Employee Resolution: Resolving internal team grievances or documentation issues within stipulated hours of logging.
Pay: ₹20,000.00 - ₹25,000.00 per month
