Position: Purchase & Inventory Executive
Department: Procurement / Supply Chain
Reporting To Manager – Area Manager
Job Summary
The Purchase & Inventory Executive is responsible for managing end-to-end procurement activities, inventory control, vendor coordination, stock monitoring, and ensuring the timely availability of materials across stores, cloud kitchens, and warehouses while maintaining cost efficiency.
Key ResponsibilitiesPurchase Management
- Raise Purchase Orders (POs) based on approved requisitions.
- Coordinate with vendors for timely procurement and delivery.
- Compare quotations and negotiate prices with suppliers.
- Ensure quality, quantity, and pricing compliance before placing orders.
- Maintain vendor database and supplier performance records.
Inventory Management
- Monitor inventory levels and maintain optimum stock.
- Track fast-moving, slow-moving, and non-moving inventory.
- Ensure stock availability to avoid operational disruptions.
- Coordinate stock transfers between stores, warehouses, and cloud kitchens.
- Conduct regular physical stock verification and reconciliation.
Vendor Management
- Develop and maintain relationships with approved vendors.
- Resolve supply issues and delivery delays.
- Ensure timely submission of invoices and supporting documents.
- Follow up on pending deliveries and purchase commitments.
Documentation & Compliance
- Maintain purchase records, invoices, GRNs, and inventory reports.
- Ensure all procurement activities comply with company policies.
- Support internal and external audits.
- Maintain accurate inventory records in ERP/POS systems.
Reporting
- Prepare daily, weekly, and monthly purchase reports.
- Generate inventory aging and stock variance reports.
- Analyze inventory consumption and recommend improvements.
- Monitor purchase costs and identify cost-saving opportunities.
Coordination
- Work closely with Operations, Finance, Warehouse, and Store Teams.
- Support new store and cloud kitchen openings with inventory planning.
- Ensure timely replenishment of stock across all locations.

Qualification
- Bachelor's Degree in Commerce, Business Administration, Supply Chain, or a related field.
Experience
- 2–5 years of experience in Purchase & Inventory, preferably in the Retail or F&B industry.
Preferred Experience
- Experience in cloud kitchens, restaurants, QSR, or retail chains.
- Knowledge of ERP systems such as SAP, Oracle, Microsoft Dynamics AX, or similar.
