Urology Prior Authorization Specialist
Role Overview
We are seeking a detail-oriented Urology Prior Authorization Specialist to manage and streamline the prior authorization (PA) process for urology treatments, procedures, and medications. In this role, you will ensure timely and accurate approvals while maintaining compliance with insurance guidelines. You will collaborate with urologists, nursing staff, billing teams, and insurance payers to facilitate access to necessary urological care and remove barriers to treatment.
Responsibilities
Manage Prior Authorization Process: Oversee the end-to-end prior authorization process for urology treatments, surgical procedures, diagnostic imaging, and medications, ensuring timely and efficient approvals.
Review Requests: Evaluate prior authorization requests for urological conditions including urologic cancers, kidney disease, BPH, overactive bladder, incontinence, and urological surgeries — to confirm they meet medical necessity criteria and payer guidelines.
Collaborate with Care Teams: Work closely with urologists, advanced practice providers, nursing staff, and billing teams to gather necessary clinical documentation and ensure it is submitted accurately and promptly.
Insurance Coordination: Coordinate with insurance companies to resolve coverage issues, denials, and appeals, ensuring patients receive necessary urological care without unnecessary delays.
Record Keeping: Maintain accurate records of all prior authorization requests, including approvals, denials, and appeals, ensuring documentation is compliant and well-organized.
Proactive Problem Resolution: Identify and address barriers to timely approvals,proactively managing payer-specific requirements and facilitating smoother workflows across urology subspecialties.
Policy & Guideline Updates: Stay current on insurance policy changes, payer guidelines, and emerging urology treatments — including robotic-assisted procedures, minimally invasive surgery, and biologics — to ensure compliance and accurate processing.
Provide Feedback & Insights: Support urology care teams by offering feedback to improve the prior authorization workflow and enhance operational efficiency across the practice. Utilize Technology: Use electronic medical records (EMR) systems (e.g., urology-specificEMRs or similar platforms) and prior authorization tools to manage and streamline processes.
Compliance: Ensure all communications and documentation comply with HIPAA andother relevant regulatory standards.
Qualifications
Experience: Minimum of 3 years of experience managing medical prior authorizations, specifically within urology or a related surgical specialty.
Preferred Experience: Experience working in a urology practice, hospital-based urology department, or with urology clients, including familiarity with robotic-assisted procedures (e.g., da Vinci), stone disease management, and urologic oncology.
Knowledge: In-depth understanding of urology treatments and procedures — including cystoscopy, TURP, URS, nephrectomy, prostate procedures, bladder treatments, and related medications — and their insurance requirements.
Insurance & Reimbursement: Strong understanding of insurance policies, reimbursement processes, and medical necessity criteria applicable to urological care, including Medicare,Medicaid, and commercial payers.
Technical Proficiency: Proficiency in EMR systems and multiple payer portals, plans, and prior authorization tools. Experience with urology-focused platforms is a plus.
Communication Skills: Excellent communication and interpersonal skills, with the ability to effectively liaise between urologists, care teams, patients, and insurance payers.
Detail-Oriented: Ability to maintain accurate and organized documentation in a fast-paced environment, with strong attention to detail.
Collaboration & Independence: Ability to work independently and collaboratively withcare teams in a dynamic urology care setting.
Compliance Knowledge: Strong knowledge of HIPAA compliance and other applicable regulatory standards governing healthcare documentation and communications.
Preferred Certifications: Certification in Medical Coding (e.g., CPC, CCS), Healthcare Administration, or a related field is a plus. Familiarity with urology-specific CPT and ICD-10 coding is highly desirable
