Job Purpose:
To ensure timely, accurate, and efficient dispatch of finished goods to customers while maintaining proper documentation, inventory accuracy, and compliance with company procedures.
Key Responsibilities: Dispatch Operations
- Plan and execute daily dispatch activities as per customer schedules and delivery commitments.
- Coordinate with Production, Sales, and Logistics for timely dispatch of materials.
- Ensure correct packing, labeling, and loading of products before dispatch.
- Verify quantities and product specifications against dispatch documents.
Documentation & Compliance
- Prepare and maintain dispatch-related documents such as:
- Delivery Challan
- E-Way Bill
- Tax Invoice
- Packing List
- Transport Documents
- Ensure compliance with GST and transportation regulations.
- Maintain accurate dispatch records and filing systems.
Inventory Control
- Update stock movement records in ERP/software and physical registers.
- Coordinate with stores for availability of finished goods.
- Monitor inventory accuracy and report discrepancies immediately.
Logistics Coordination
- Arrange vehicles and coordinate with transporters for on-time deliveries.
- Track dispatched shipments and update concerned departments regarding delivery status.
- Resolve transportation and dispatch-related issues promptly.
Quality & Safety
- Ensure products are dispatched according to quality standards and customer requirements.
- Follow warehouse safety guidelines during loading and unloading operations.
- Maintain housekeeping and organization in dispatch areas.
Reporting
- Prepare daily, weekly, and monthly dispatch reports.
- Monitor dispatch performance and delivery timelines.
- Report delays, shortages, damages, or customer complaints to management.
Required Qualifications:
- Graduate in any discipline (Preferred: Logistics, Supply Chain, Commerce).
- 2–5 years of experience in Dispatch, Stores, Warehouse, or Logistics Operations.
- Knowledge of ERP systems, MS Excel, E-Way Bill, GST documentation, and inventory management.
