We are looking for a smart, responsible and highly organized Personal Assistant to support the Director in managing daily schedules, communications, meetings, follow-ups and important business activities.
The ideal candidate should be proactive, trustworthy and capable of handling confidential information professionally. Previous experience supporting a Director, CEO or senior management will be preferred.
Key Responsibilities
- Manage the Director’s daily calendar, meetings, appointments and reminders.
- Organize and prioritize daily tasks according to urgency.
- Coordinate with employees, department heads, customers, suppliers and external parties.
- Track instructions given by the Director and ensure timely follow-up and completion.
- Attend meetings, prepare agendas and record Minutes of Meeting.
- Maintain follow-up lists and regularly report pending work.
- Handle phone calls, emails, WhatsApp messages and correspondence when authorized.
- Draft professional emails, letters, reports and presentations.
- Arrange business travel, hotel bookings, transportation and meeting schedules.
- Collect required information from different departments and prepare concise summaries.
- Maintain documents, records and confidential information systematically.
- Assist the Director in monitoring important projects and deadlines.
- Conduct online research and prepare comparisons or reports when required.
- Support selected personal and administrative tasks when necessary.
- Provide daily and weekly updates on completed and pending activities.

Candidate Requirements
- Graduate in any discipline.
- Minimum 1–3 years of experience as a Personal Assistant, Executive Assistant, Coordinator or similar role.
- Previous experience working directly with a Director, CEO or senior management will be preferred.
- Jewellery-industry experience will be an added advantage.
- Good command of English, Hindi and Gujarati is preferred.
- Candidate must be based in Surat or willing to relocate.
- Candidate should be comfortable with occasional business travel, if required.
