As we continue to grow, we are looking for an organized and dependable Administrative Assistant to help support the day-to-day administrative activities of the business.
About the Role
We are looking for an Administrative Assistant who can help keep things organized and running smoothly behind the scenes.
You will work closely with the Operations Manager and provide support across a variety of administrative tasks. You will help with scheduling, documentation, record keeping, follow-ups, coordination, and other day-to-day administrative activities.
This role is ideal for someone who is organized, detail-oriented, eager to learn, and enjoys helping others stay on track.
You will receive guidance and support from the Operations Manager and will gradually take ownership of recurring administrative responsibilities.
What You'll Do?
1. Administrative Support (Primary Responsibility)
You will help manage and organize the administrative tasks that support the day-to-day functioning of the business.
Responsibilities include:
- Maintaining and organizing documents, records, and files
- Updating trackers, spreadsheets, and databases
- Preparing and formatting documents when needed
- Scheduling meetings and managing calendars
- Coordinating appointments and reminders
- Assisting with vendor and partner communication
- Helping maintain business records and documentation
- Supporting recurring administrative activities
- Conducting basic research and information gathering when required
- Ensuring important information is documented and organized properly
2. Coordination & Follow-Up
You will assist the Operations Manager in coordinating tasks and ensuring important activities stay on track.
Responsibilities include:
- Following up on assigned tasks and action items
- Helping track deadlines and progress updates
- Coordinating with team members when information is required
- Supporting meeting scheduling and note-taking
- Maintaining task trackers and status updates
- Assisting with internal communication and coordination
3. Support to the Operations Manager
You will work directly with the Operations Manager and assist with various administrative and coordination-related responsibilities.
Responsibilities may include:
- Preparing reports and documents
- Updating trackers and dashboards
- Organizing project-related information
- Assisting with team coordination activities
- Supporting special projects and one-time administrative tasks
- Providing additional administrative assistance as needed
4. Founder Support (Occasional)
You may occasionally assist the Founder with simple administrative tasks when required.
Responsibilities may include:
- Scheduling appointments
- Managing reminders and follow-ups
- Coordinating bookings and logistics
- Assisting with administrative requests

Skills & Experience
Preferred Qualifications:
- Experience in administrative support, office administration, coordinator, executive assistant, or similar roles
- Familiarity with Google Workspace (Docs, Sheets, Calendar, Gmail)
- Basic experience with tools such as Notion, Asana, Slack, or similar platforms
- Good written and verbal communication skills
- Strong attention to detail and organizational skills
- Experience in a startup, education, media, or creative environment is a plus
