About the Association:
Established in 2004, the Internet and Mobile Association of India (IAMAI) is a not-for-profit industry body and the country’s only organization representing the digital services industry. IAMAI works closely with industry stakeholders and government bodies to promote the growth of the digital economy. With over 500+ Indian and multinational corporations as members, the Association operates across multiple verticals including digital payments, fintech, advertising, public policy, digital entertainment, and more.
SCOPE OF WORK & RESPONSIBILITIES
Responsibility:
To be an extended arm of IAMAI to coordinate and follow up with exhibitors & contractors. To manage & supervise the hall & aisle managers, housekeeping, fire marshals, security teams at the venue.
Preparation Period
- They will be attending all the training & info webinars conducted by the IAMAI team for GFF Exhibitors & Contractors.
- Follow up with exhibitors and contractors for filling up of exhibitor detail & contractor detail forms.
- Keeping a track record of electricity, internet & security deposit requirements & payments.
- Coordination with JWCC for F&B services requested by exhibitors, if needed.
- Making an admin only WhatsApp group with exhibitors & contractors, to update them about the timelines, schedule & other important information from time to time.
Pre-Exhibition Setup
- Manage the deployment & coordination with the electrical, security, fire marshals and housekeeping teams.
- Supervising the hall/aisle managers for smooth entry and space allocation of the exhibitors & contractors as per the schedule.
- Coordinate with hall managers for booth space allocation status and the same information & updates to be conveyed to the IAMAI team from time to time on setup days.
- Monitor progress of booth setup and resolve escalated issues by the hall managers or report the same with the IAMAI team.
- Supervise the compliance with safety, fire, and venue norms, timely setup & booth construction, instruct & assist aisle managers to keep reminding the contractors for the setup timings.
- Supervise final cleaning for carpet laying after the booth construction completion.
- Collect time stamped picture of the booths along with their contractors/labours which have crossed the deadlines from the WhatsApp group created and sending an email to the respective exhibitor & contractor along with the applicable penalties.
During Exhibition Days
- Manage the deployment & coordination with the electrical, security, fire marshals and housekeeping teams.
- Coordinate with hall managers for booth space allocation status and the same information & updates to be conveyed to the IAMAI team from time to time on setup days.
- Be the escalation point for Hall Managers and take regular updates from them on the status & crowd movement.
- Monitor exhibitor grievances and provide solutions or escalate to IAMAI Team.
- Monitor VIP & VVIP movements and ensure smooth flow in high-traffic areas.
- Update IAMAI Team on any issues in respective zones and give a check call in every hour to update on the status.
- Coordinate for emergency protocols in case needed (e.g., medical, fire evacuation).
Post-Exhibition Dismantling
- Coordinate with respective teams for smooth vacating of exhibitors from the venue.
- Supervise the dismantling process and ensure zero delays.
- Check and report damages to booths or venue property and update the IAMAI Team.
- Oversee cleanliness of hall and verify waste clearance and coordinate with the housekeeping team for continuous cleaning.
- Coordinate with the hall managers to ensure all booths receive clearance only after compliance checks.
- Collect time stamped picture of the booths along with their contractors/labours which have crossed the deadlines from the WhatsApp group created and sending an email to the respective exhibitor & contractor along with the applicable penalties.
- Take pictures & videos of the entire space after complete dismantling & cleaning at the end of the exhibition.
Eligibility / Skills Required
- Pursuing or completed a Bachelor's/Master's degree in Operations Management, Business Administration, Event Management, Logistics, or a related field.
- Strong coordination and communication skills.
- Good organizational and multitasking abilities.
- Ability to manage multiple stakeholders and follow up with exhibitors, contractors, and internal teams.
- Proficiency in tools like MS Office (Excel, Word, and PowerPoint), Canva, etc.
- Willingness to work on-site and support event operations throughout the preparation, exhibition, and dismantling phases.
