About the role
We are seeking an exciting role of Specialist - Executive Assistant. You will provide high-level, strategic support to ELT, acting as a primary point of contact and an extension of the executive’s office. This role requires more than just scheduling; it demands proactive problem-solving, project management, and the ability to navigate complex business priorities with total discretion.
Responsibilities:
Strategic Calendar & Time Management

Own and optimize complex executive calendars, ensuring alignment with strategic priorities.

Anticipate conflicts across global time zones and proactively resolve them.

Establish best practices for time management across the leadership team.
Communication & Relationship Management

Serve as the executive’s primary liaison, managing high-volume communications with discretion.

Draft, refine, and oversee critical correspondence, including board-level reports and executive presentations.

Represent the executive in key meetings, ensuring accurate documentation and accountability for follow-ups.

Build and maintain strong relationships with internal and external stakeholders.
Travel & Logistics Leadership

Lead planning and execution of complex domestic and international travel, including compliance with visa and regulatory requirements.

Oversee logistics for hybrid and global meetings, ensuring seamless execution.

Manage executive office budgets, expense reporting, and financial tracking with accuracy.
Project Oversight & Research

Lead special projects such as corporate events, office transitions, or executive initiatives.

Conduct in-depth research and prepare strategic briefing materials to support executive decision-making.

Drive continuous improvement in EA processes and workflows, leveraging technology and automation tools.
Qualifications:
- 6+ years of experience supporting C-suite or senior leadership.

Bachelor’s degree in business management or related field (Master’s preferred).

Advanced proficiency in Microsoft 365, Google Workspace, and workflow automation tools (e.g., Microsoft Copilot, ChatGPT).

Strong leadership, organizational, and communication skills.

High Emotional Intelligence (EQ) and ability to influence at senior levels.

Proven ability to manage confidential information with discretion.

Experience mentoring or guiding junior EAs or administrative staff.
