Deputy Registrar
Educational Qualifications
- Master's Degree from a recognized University.
- A Ph.D. or professional qualification in Management/Law/Education Administration will be preferred.
Desirable Experience
- Minimum 10–12 years of administrative experience, with substantial experience in a University/higher education institution.
- Prior experience at the level of Assistant Registrar or equivalent administrative position in a recognized University is desirable.
- Demonstrated experience in handling examination administration, academic affairs, statutory compliance, and inter-departmental coordination.
Key Roles & Responsibilities
- Oversee and lead the overall functioning of the Registrar's Office, ensuring smooth academic and administrative operations across departments.
- Supervise examination processes end-to-end, including scheduling, conduct, result processing, and redressal of examination-related grievances.
- Act as the primary liaison with regulatory bodies, accreditation agencies, and university authorities on administrative and academic matters.
- Supervise and mentor Assistant Registrars and administrative staff, ensuring accountability and efficiency across sections.
- Oversee maintenance of official records, academic archives, and documentation systems, ensuring accuracy, confidentiality, and easy retrieval.
- Coordinate with academic departments for convocation, admissions, curriculum notifications, and Academic Council/Executive Council proceedings.
- Draft, review, and approve official correspondence, notifications, circulars, and policy documents on behalf of the University administration.
- Ensure implementation of University statutes, ordinances, and administrative policies across all functional units.
- Handle escalated administrative issues and provide strategic recommendations to senior University leadership.
Skills Required
- Strong leadership and team management capabilities.
- Excellent written and verbal communication skills.
- Sound knowledge of University administrative systems, statutes, and regulatory compliance.
- Proficiency in MIS/ERP systems used for academic and administrative management.
- High level of accuracy in documentation, record-keeping, and report preparation.
- Strong problem-solving ability and sound judgment in policy-related matters.
Assistant Registrar
Educational Qualifications
- Master's Degree in any discipline from a recognized University.
- Additional qualification/certification in Administration, Management, or Education Administration will be an added advantage.
Desirable Experience
- Minimum 5–7 years of administrative experience, preferably in a University or higher education administrative setup.
- Working experience in examination administration, academic record management, or general administration is desirable.
- Prior exposure to handling student records, correspondence, and coordination with academic departments preferred.
Key Roles & Responsibilities
- Assist in the day-to-day administrative functioning of the Registrar's Office and allied academic sections.
- Support examination coordination activities including scheduling, documentation, hall-ticket generation, and result compilation.
- Maintain accurate and up-to-date academic and administrative records, ensuring proper filing and retrieval systems.
- Assist in ensuring compliance with University statutes, ordinances, and applicable regulatory requirements.
- Coordinate with faculties, departments, and other University sections for smooth flow of academic and administrative processes.
- Draft routine correspondence, notices, circulars, and reports as directed by the Deputy Registrar/Registrar.
- Support staff supervision within the section, ensuring adherence to timelines and administrative protocols.
- Assist in liaison work with regulatory and affiliating bodies as directed by senior administration.
- Support admissions, convocation, and other academic event coordination as required.
- Undertake any other administrative responsibilities assigned by the Deputy Registrar or Registrar.
Skills Required
- Good communication and interpersonal skills.
- Basic to intermediate leadership and team coordination abilities.
- Working knowledge of MIS/ERP systems and office documentation tools.
- Strong organizational skills with attention to detail in record-keeping.
- Ability to work under supervision as well as independently on assigned tasks.
- Sound understanding of general University administrative procedures.
