Purpose of the Role & Position
The purpose of this position is to lead and manage the overall warehouse operations to ensure efficient handling, storage, production planning, inventory management, quality assurance, maintenance and timely dispatch of food products for export. The role is responsible for driving operational excellence through strong process management, food safety compliance, inventory control, cost optimization, team leadership, and continuous improvement initiatives. The position plays a critical role in ensuring high operational efficiency, regulatory compliance, product quality, and seamless coordination across functions to consistently deliver world-class export products to global markets within committed timelines.
Key Responsibilities1. Warehouse Operations & Dispatch Management
● Lead and manage daily warehouse operations including receiving, storage, production coordination, packing, and dispatch activities.
● Ensure all export orders are dispatched within the defined Turnaround Time (TAT) of 20 days from receipt of work order from the exports team.
● Conduct daily production and dispatch review meetings to monitor order status, planning, and execution.
● Ensure proper handling, loading, unloading, and storage of products in compliance with food safety and export standards.
● Coordinate with logistics providers for timely and cost-effective shipment execution.
2. Inventory & Material Management
● Manage inventory of raw materials (RM), packing materials (PM), and finished goods efficiently.
● Implement robust inventory management systems and maintain accurate stock records.
● Ensure FIFO practices, proper stock rotation, and controlled storage conditions to minimize wastage and inventory losses.
● Conduct periodic stock audits and reconciliations to ensure inventory accuracy.
● Coordinate with procurement and sales teams for material planning and inventory forecasting
● Maintain optimum quantities of raw material as per forecast and avoid overstocking and loss of materials
3. Production Planning & Operational Efficiency
● Plan production and packing activities to maximize productivity and operational efficiency at optimum cost.
● Optimize manpower utilization and reduce wastage of worker hours through effective workforce planning.
● Drive process improvements, workflow optimization, and automation initiatives to improve productivity and reduce dependency on manual operations.
● Ensure smooth operational coordination across all warehouse activities.
4. Food Safety, Quality & Regulatory Compliance
● Ensure strict compliance with food safety standards, hygiene practices, GMP, HACCP, and all applicable export regulations.
● Ensure compliance with Indian statutory requirements including FSSAI regulations, labour laws, factory laws, and other applicable government norms.
● Monitor shelf life, storage conditions, and product quality to prevent contamination, infestation, or quality deterioration.
● Review customer and market quality complaints and implement corrective and preventive actions.
● Ensure warehouse staff follow all safety, hygiene, and operational protocols.
5. Process Improvement, Maintenance & SOP Implementation
● Develop, implement, and maintain SOPs for all warehouse operations and processes.
● Drive a process-oriented and documentation-driven operational culture.
● Ensure preventive maintenance of machinery and equipment to minimize downtime and operational disruptions.
● Continuously identify opportunities for operational improvement, automation, and cost reduction.
6. Documentation, Reporting & Traceability
● Maintain accurate and audit-ready documentation for all warehouse operations and export activities.
● Ensure complete traceability of materials, processes, and dispatch records.
● Prepare and submit daily and periodic operational reports including:
○ Production details
○ Dispatch status
○ Inventory reports
○ Productivity metrics
○ Cost and wastage analysis
● Ensure all export-related documentation including packing lists, shipping labels, and compliance records are properly maintained.
● Implementation of ERP and leverage for data driven decisions.
7. Team Leadership & Cross-Functional Coordination
● Lead, train, and manage warehouse staff to ensure high productivity, discipline, and teamwork.
● Foster a culture of accountability, continuous improvement, innovation, and collaboration.
● Coordinate effectively with Purchase, QA, HR, Maintenance, Accounts & Finance, Logistics, and Export teams for smooth operational execution.
● Promote transparent, respectful, and solution-oriented communication across teams.
8. Cost Control & Operational Governance
● Drive cost-conscious operations across warehousing, production, packaging, dispatch, and material handling activities.
● Identify and implement cost-saving initiatives without compromising quality, compliance, or operational efficiency.
● Maintain high standards of integrity, accountability, and transparency in operational and financial matters.
Required Skills & Competencies
● Strong knowledge of food safety standards and export compliance requirements (GMP, HACCP, FSSAI, etc.)
● Experience with warehouse management systems (WMS) and inventory control systems
