Job Description – Personal Assistant to the Chief Business Officer (CBO)

About the Role
We are looking for a highly organized, proactive, and business-oriented Personal Assistant to support the Chief Business Officer (CBO). This is a strategic executive support role responsible for managing the CBO’s calendar, communications, meetings, reports, follow-ups, and cross-functional coordination across a multi-location dermatology organization with 500+ employees.
Key Responsibilities
- Manage the executive calendar, meetings, travel, and priorities.
- Coordinate with Operations, HR, Finance, Marketing, Medical, IT, CRM, Procurement, and Clinic Managers.
- Prepare agendas, presentations, dashboards, reports, and meeting minutes.
- Track action items and ensure timely completion.
- Prepare daily, weekly, and monthly business reports.
- Support strategic projects including clinic expansion, technology rollouts, SOP implementation, recruitment, and marketing campaigns.
- Handle confidential business information with complete discretion.
- Draft professional emails, letters, presentations, and executive communications.
- Organize business documentation, contracts, and executive files.
- Coordinate leadership meetings, reviews, vendor interactions, and events.
Qualifications
- Bachelor's degree required; MBA/BBA/Healthcare Management preferred.
- 4–8 years supporting senior leadership or CXO-level executives.
- Experience in healthcare, retail, hospitality, or multi-location organizations preferred.
Required Skills
- Advanced Microsoft Excel, PowerPoint, Word, and Google Workspace.
- Strong analytical, reporting, and presentation skills.
