Role Summary
The Vendor Registration & Export Documentation Executive will be responsible for
managing end-to-end vendor registrations and export-related documentation. The role
involves accurate preparation of pre-qualification documents, coordination of quotations, and
systematic tracking of commercial submissions across domestic and international customers.
Key Responsibilities
Vendor Registration & Compliance
• Execute vendor registrations on customer portals including PSUs, EPCs, OEMs, and
international clients.
• Accurately complete vendor registration forms, RFQs, PQ questionnaires, and
compliance documents.
• Follow up with customers for registration approvals, clarifications, and status updates.
Export & Pre-Qualification Documentation
• Prepare and submit export pre-qualification and compliance documents, including:
o Company profiles and credentials
o Financial, statutory, and legal documents
o Past project references
o Manufacturing capacity details
o Quality certifications and approvals
• Maintain document validity records and ensure timely renewals.
Quotation Coordination
• Float RFQs to vendors and suppliers.
• Receive, verify, and compile quotations.
• Coordinate with internal teams for technical and commercial inputs.
Tracking & Reporting
• Maintain structured quotation and submission trackers, including:
o Submission dates
o Revisions
o Follow-up status
• Ensure systematic documentation control and audit readiness.
Internal Coordination
• Liaise with Sales, Projects, QA, Accounts, and Production teams to gather required
inputs and data.
Required Skills & Qualifications
• Excellent written and spoken English (mandatory).
• Strong attention to detail and documentation accuracy.
• Prior experience in vendor registration, export documentation, sales coordination, or
similar roles preferred.
• Proficiency in MS Excel, Word, email communication, PDFs, and online customer
portals.
• Strong follow-up skills and ability to manage multiple deadlines.
