Position Overview
We are seeking a proactive, detail-oriented Project Manager Engagement Associate with 1–4 years of experience in project management, preferably within pharmaceutical, biotech, healthcare IT, or consulting environments. This role will own day-to-day project management for our US-based field implementation accounts, ensuring disciplined execution, proactive stakeholder communication, and client confidence across complex, multi-workstream engagements.
The Project Manager Engagement Associate will serve as the operational backbone of our field delivery team: owning project plans, driving meeting cadences, tracking risks and dependencies, and ensuring that our clients experience a level of project management rigor that matches or exceeds what they are accustomed to from large consulting firms. This role is supporting US Eastern hours, and reports to the Director of Services with a dotted line to the US Field Delivery Leader.
Key Responsibilities
Project Management & Execution
Own and maintain project plans, timelines, risk/issue logs, and status reports for 2–3 concurrent US field implementation accounts.
Drive the weekly project cadence: ensure project plans are updated before every client meeting, walk through status on-screen during calls, and follow up on all action items within 24 hours.
Maintain and leverage internal PM tools (Optipresent PM tracker, Jira, Google Sheets) to provide real-time visibility into workstream health across accounts.
Track dependencies across internal teams (engineering, QA, data, configuration, delivery consulting) and proactively escalate blockers before they impact delivery timelines.
Client Communication & Meeting Leadership
Prepare and distribute agendas at least 24 hours in advance for all client-facing meetings, including weekly syncs, technical reviews, kickoffs, and pre-go-live checkpoints.
Facilitate client meetings with confidence: drive the agenda, present status updates, capture decisions and action items, and ensure clear ownership and follow-through.
Serve as the primary day-to-day PM contact for assigned accounts, ensuring clients feel proactively managed rather than reactive.
Proactively identify and communicate risks, scope changes, and timeline adjustments to both internal leadership and external stakeholders.
Governance & Reporting
Support formalized governance processes across accounts, including enhancement lifecycle management (kickoff, mid-project review, pre-go-live validation).
Produce weekly status summaries and monthly account health reports for internal leadership review.
Contribute to QBR preparation, helping assemble metrics, achievement summaries, and forward-looking roadmap materials.
Cross-Functional Coordination
Coordinate across field and digital delivery teams to ensure alignment on shared accounts and workstreams.
Support the onboarding and integration of new team members by documenting processes, maintaining knowledge bases, and providing account context.
Identify and recommend process improvements, templates, and automation opportunities to increase PM efficiency and scalability.
Prerequisites
We value experience with pharmaceutical or biotech companies, healthcare IT vendors, CRM implementation firms, or consulting organizations that support life sciences clients.
Hard Skills
Required:
1–4 years of experience in project management, account coordination, or delivery operations, with hands-on ownership of multi-workstream project execution.
Proficiency in project management tools and methodologies (Jira, Smartsheet, MS Project, Asana, or equivalent). Experience with Agile or hybrid delivery models preferred.
Strong proficiency in Microsoft Excel/Google Sheets, PowerPoint/Google Slides, and collaboration tools (Slack, Google Workspace, Microsoft Teams).
Demonstrated ability to build and maintain project plans, RAID logs, RACI matrices, and status trackers.
Strong written communication skills in English, with the ability to draft clear agendas, meeting notes, and status reports for US-based clients and stakeholders.
Nice to Have:
Experience with CRM platforms (Salesforce, Veeva) or marketing automation tools (SFMC, Marketo) in a life sciences context.
Exposure to pharmaceutical field force operations, commercial excellence, or HCP engagement workflows.
Familiarity with AI/ML-based decision support or next-best-action platforms.
PMP, CAPM, or equivalent project management certification.
Soft Skills
Exceptional organizational skills with the ability to manage multiple concurrent projects without sacrificing quality or attention to detail.
Proactive communication style — the ability to anticipate what stakeholders need to know before they ask, and to surface risks early rather than waiting for escalation.
Strong stakeholder management skills, with the ability to drive alignment across cross-functional teams operating in different time zones.
Comfortable operating in a fast-paced, high-growth environment where processes are being built and refined in real time.
Professional maturity and client-facing presence on video calls with US-based pharmaceutical clients and consulting partners (e.g., EY, Cognizant).
Qualifications
1–4 years of experience in project management, delivery coordination, or account management, ideally supporting US or global pharmaceutical/biotech clients.
Bachelor’s degree required; degree in engineering, life sciences, business administration, or a related field preferred.
Prior experience working in or with US-based pharma/biotech organizations or healthcare IT vendors is strongly preferred.
Proven ability to manage complex, multi-stakeholder projects with competing priorities and tight timelines.
Must be available to work US Eastern hours (2:30 PM - 11:30PM UTC=2, Monday - Friday).
