Role Overview
As a Logistics & Order Management Coordinator, you will be the backbone of our supply chain and sales support operations. You will be responsible for ensuring 100% accuracy in order processing, maintaining seamless vendor coordination, executing flawless international and domestic shipping, and providing stellar backend support to our sales and operations teams. Key Responsibilities & Duties1. Shipping, Logistics & Compliance
- Generate domestic and international shipping labels with near-zero error rates.
- Research and execute international shipping requirements, ensuring 100% compliance with global trade regulations.
- Manage, troubleshoot, and correctly resolve shipping-related escalations to minimize order reshipments.
2. Order Processing & Portal Management
- Manage and process portal, fulfillment, and manual orders accurately and within strict Service Level Agreements (SLAs).
- Monitor portal inquiries and promptly acknowledge order queries.
- Maintain meticulous digital records of all orders, shipments, and billing activities.
3. Supplier Coordination & Sourcing
- Source products and conduct competitive pricing comparisons across multiple vendors to ensure cost-efficiency.
- Verify and maintain highly accurate data regarding supplier pricing and product availability.
- Coordinate sample orders and track them to ensure on-time delivery.
4. Cross-Functional Collaboration & Sales Support
- Act as the primary operational bridge for the sales team, providing fast and highly accurate information regarding orders and inventory.
- Participate in weekly collaboration meetings with Sales and Operations to align on business goals and troubleshoot bottlenecks.
5. Billing & Financial Record Maintenance
- Prepare, verify, and submit monthly invoices accurately and on time.
- Ensure all financial records relating to shipping and billing are complete, updated, and audit-ready.
6. Compliance & Process Improvement
- Strictly adhere to established Standard Operating Procedures (SOPs).
- Actively contribute ideas and structured feedback quarterly to optimize and improve operational workflows.
Qualifications & Skills
- Experience: 2–4 years of experience in logistics, order fulfilment, supply chain coordination, or a similar operational role.
- Technical Skills: Proficiency with Order Management Systems (OMS), ERPs, shipping platforms (e.g., Ship Station, FedEx/UPS managers), and MS Excel.
- International Shipping: Solid understanding of international customs, duties, and documentation (e.g., commercial invoices, HSN codes).
- Attention to Detail: Exceptional data entry accuracy and a knack for spotting discrepancies in invoices and addresses.
- Communication: Strong written and verbal communication skills for vendor negotiation and internal team collaboration.
- Problem-Solving: Ability to handle high-pressure shipping escalations calmly and efficiently.
- Attention to detail: Should have high level of attention to detail.
