Job Summary
The Export Documentation Executive will be responsible for preparing, verifying, and managing all export-related documentation to ensure smooth customs clearance and timely shipment of cargo. The role involves coordinating with customers, shipping lines, freight forwarders, customs authorities, and internal teams while ensuring compliance with export regulations. The position also includes preparing and managing billing related to CHA services, documentation charges, and other logistics services.
Key ResponsibilitiesExport Documentation
- Prepare and process export documentation such as Shipping Bills, Commercial Invoices, Packing Lists, ARE-1 (where applicable), Certificates of Origin, Bill of Lading instructions, and other export-related documents.
- Coordinate with customers to collect shipping instructions and required export documents.
- File export documents through ICEGATE and ensure compliance with customs procedures.
- Coordinate with customs authorities, shipping lines, airlines, freight forwarders, CFS/ICD, and port authorities for smooth cargo movement.
- Track shipment status and provide timely updates to customers.
- Ensure compliance with DGFT, Customs, and other applicable export regulations.
- Verify documentation accuracy before shipment to avoid delays or penalties.
- Maintain complete records of export documents for audit and statutory compliance.
- Coordinate with transporters and warehouse teams for timely cargo movement and stuffing activities.
- Resolve documentation-related issues with customers and government authorities.
Billing & Accounts Coordination
- Prepare and generate invoices for CHA services, documentation charges, transportation, freight coordination, and other logistics-related services.
- Maintain billing records and ensure timely submission of invoices to customers.
- Coordinate with the accounts department for payment follow-ups and reconciliation.
- Verify vendor invoices and supporting documents before processing.
- Maintain billing records for audit and compliance purposes.
Required Qualifications
- Graduate in Commerce, Business Administration, Logistics, Supply Chain Management, or any relevant discipline.
- Additional certification in Logistics, Shipping, International Trade, or Customs Procedures will be an added advantage.
Required Experience
- 2–4 years of experience in Export Documentation with a Customs House Agent (CHA), Freight Forwarder, Shipping Line, or Logistics company.
- Experience in customs clearance documentation, ICEGATE filing, and export billing processes.
Required Skills
- Strong knowledge of export documentation procedures and customs regulations.
- Familiarity with ICEGATE, DGFT procedures, and customs filing systems.
- Proficiency in MS Excel, MS Office, and email communication.
- Knowledge of Shipping Bills, Bill of Lading, Certificates of Origin, Letter of Credit (LC), and export compliance documentation.
- Strong coordination, communication, and customer service skills.
- Ability to manage multiple export shipments and meet strict deadlines.
- High attention to detail and documentation accuracy.
Pay: ₹15,000.00 - ₹30,000.00 per month
