Roles & Responsibilities – Admin Executive
1. Administrative Data Management
- Excel Data Tracking: Maintain and update administrative records, including branch‑wise expense sheets, vendor details, and compliance logs.
- Report Preparation: Generate monthly and quarterly expense reports for management review.
2. Office & Facility Maintenance
- Maintenance Coordination: Oversee office premises, printing equipment, and vehicle upkeep.
- Vendor Liaison: Coordinate with service providers for AMC contracts, insurance renewals, and repair works.
3. Financial Administration
- Expense Handling: Manage office expenses including electricity, water, courier, travel, and event costs.
- Bill Verification: Check and approve branch office bills before submission to accounts.
- Property Tax Payment: Ensure timely settlement of municipal dues and statutory payments.
4. Branch Coordination
- Branch Admin Support: Act as a central point of contact for branch offices regarding vehicle maintenance, office locking, and administrative queries.
- Compliance Monitoring: Verify that branch offices adhere to company policies and statutory requirements. Ensuring smooth coordination with municipal bodies, regulatory authorities and government departments for Liaisoning Work.
5. Managerial Assistance
- Senior Manager Support: Assist senior managers in day‑to‑day operations, scheduling, and administrative decision‑making.
- Documentation: Prepare official correspondence, notices, and memos as directed by management.
6. Event & Workshop Management
- Event Coordination: Organize internal workshops, training sessions, and branch events.
- Vendor Payments: Handle vendor contracts and ensure timely payments for event services.
7. Vehicle & Logistics Handling
- Vehicle Management: Maintain records of company vehicles, fuel usage, and repair schedules.
- Travel Expense Oversight: Monitor and approve travel claims for staff across branches.
8. Guest Management & Hospitality
· Visitor Management: Welcome and assist guests, authors, and dignitaries visiting the company premises.
· Hospitality Arrangements: Ensure proper seating, refreshments, and overall comfort for visitors during meetings, workshops, or press events.
· Guest House Coordination: Manage company guest house facilities, including accommodation arrangements for visiting staff or dignitaries.
9. Vehicle Maintenance & Insurance
· Periodic Maintenance Scheduling: Ensure timely servicing of company vehicles, including routine checks, repairs, and upkeep to maintain operational efficiency.
· Insurance Renewals and : Track and process insurance policies for all company vehicles, ensuring renewals are completed before expiry.Documentation & Compliance: Maintain updated records of vehicle registration, insurance certificates, pollution checks, and fitness certificates.
Pay: ₹15,780.22 - ₹20,000.00 per month
