The Collections Team Lead is responsible for leading the day-to-day collections function for the India operation, ensuring that student deposits, payments, and outstanding balances are followed up and collected efficiently. The role is a hands-on role that combines team leadership with active collection activity, including regular outbound calls to students and direct follow-up on outstanding accounts. The role allocates workloads, monitors performance, resolves escalated cases, and maintains accurate reporting. Working closely with the Acting Head of India, the UK Finance Director, Sales, and Operations, the Team Lead supports cash flow, process compliance, and continuous improvement across the collections cycle.
Key Responsibilities
Collections & Payment Follow-Up
- Lead the day-to-day collections activity for student deposits, payments, and outstanding balances, ensuring professional and timely follow-up
- Allocate and prioritise team workloads, maintain a structured collections tracker, and ensure all outstanding items have a clear owner and next action
- Coach the Collections team on effective customer communication, objection handling, and agreed escalation procedures
- Take ownership of complex or sensitive cases and escalate material risks to the Finance Director
- Undertake active collection activity, including regular outbound calls, emails, and direct follow-up with students regarding deposits, payments, and outstanding balances
Team Leadership & Performance
- Supervise, support, and motivate the Collections team, providing clear direction, regular feedback, and on-the-job coaching
- Set individual and team priorities, targets, and service standards, monitoring progress and addressing underperformance promptly
- Run regular team check-ins and performance reviews, identifying development needs and supporting training plans
- Promote a collaborative, accountable, and customer-focused culture across the Collections team
Financial Reporting
- Prepare and present regular collections reports covering ageing, outstanding balances, payments received, collection rates, and team performance
- Ensure accurate and complete financial records are maintained for all relevant transactions
- Oversee month-end reconciliation activity in coordination with the UK Finance Director and UK Deputy Director, investigating and resolving discrepancies
Systems, Data & Controls
- Use advanced Excel functionality to analyse collections data, maintain robust trackers, and produce clear management reports and dashboards
- Use Xero confidently to review transactions, support reconciliation, investigate discrepancies, and maintain accurate financial information
- Ensure all customer interactions, follow-up activity, payment commitments, and outcomes are recorded accurately and promptly in the CRM
- Maintain strong data quality and appropriate controls across Excel, Xero, and CRM records
Process & Compliance
- Ensure collections and financial processes are followed consistently by the team and remain aligned with company policy
- Analyse recurring payment issues, process gaps, and performance trends, then implement practical improvements
- Ensure complete documentation of payment correspondence, arrangements, disputes, and agreed actions within the relevant systems
