Front Office & Billing Executive – Job Description Position
Job Summary
Responsible for managing patient registration, appointments, billing, admissions, discharge billing, insurance/TPA coordination, cash handling, and providing courteous and efficient service to patients and attendants.
Key Responsibilities
1. Front Office Operations
- Greet and assist patients and attendants professionally.
- Register new and existing patients accurately.
- Manage OPD appointments and doctor schedules.
- Handle patient enquiries regarding consultations, procedures, packages, and hospital services.
- Maintain patient records and ensure accurate data entry.
- Coordinate with doctors, nursing, laboratory, pharmacy, and other departments.
2. Billing Responsibilities
- Prepare OPD, IPD, procedure, investigation, pharmacy, and discharge bills accurately.
- Collect payments through approved payment modes and issue receipts.
- Verify package rates, discounts, deposits, and outstanding balances.
- Maintain accurate daily billing and collection records.
- Ensure all services provided to patients are properly captured in the billing system.
- Coordinate with departments to resolve billing discrepancies.
3. Admission & Discharge
- Complete admission formalities and collect required documents.
- Explain billing procedures, deposits, packages, and payment requirements to patients/attendants.
- Coordinate with nursing and billing departments during discharge.
- Prepare final bills and ensure all outstanding payments are settled before discharge as per hospital policy.
4. Insurance / TPA Coordination
- Collect and verify required insurance/TPA documents.
- Coordinate with the insurance/TPA desk for approvals and claim-related requirements.
- Follow up on pending approvals and documentation.
- Ensure accurate billing as per approved packages and insurance guidelines.
5. Cash & Documentation
- Handle cash, card, UPI, and other approved payment collections responsibly.
- Maintain proper cash and billing records.
- Perform end-of-shift cash reconciliation.
- Maintain confidentiality of patient and financial information.
- Ensure all receipts and supporting documents are properly maintained.
Required Skills
- Good communication and interpersonal skills.
- Basic knowledge of hospital billing and front office operations.
- Good computer and data-entry skills.
- Knowledge of MS Office and hospital billing software.
- Ability to handle patients politely, especially during busy hours.
- Good numerical and documentation skills.
- Ability to manage multiple tasks and queues efficiently.
- Strong attention to detail and accuracy.
- Ability to work in rotational shifts, including weekends and holidays.
Qualification & Experience
- Qualification: Any Graduate / B.Com / Hospital Administration / Healthcare Management preferred.
- Experience: 1–3 years in hospital front office, billing, or healthcare administration preferred.
- Freshers with good communication and computer skills may also be considered.

Pay: ₹12,000.00 - ₹25,121.58 per month
