Operational Oversight:
- Manage the daily operations of Facilities, ensuring functionality, safety, and efficiency
- Quality control making sure cleaning, upkeep and safety standards are maintained
- Monitor 52 weeks training schedule
- Attendance and cost sheet update
- Asset management
- Oversee GSA operations and provide necessary guidelines
- Drive the transport team for smooth operations and connect for necessary trainings
- F&B management for the site, manpower, menu planning, sale data.
- Oversee the functioning of building systems including HVAC, plumbing, electrical, and safety systems
- Monitor all the Planned Preventive Maintenances
- Liasioning with building management team
Delivering High Client Satisfaction:
- Aligns with client on key priorities and executes a strategic account plan that delivers against those priorities
- Ensures service delivery is high quality and exceeds client expectations
- Anticipates needs, responds to client issues in an expedient and professional manner
- Builds lasting relationships quickly
Budget Management:
- Prepare and manage the facility's budget, ensuring cost-effective operations.
- Handle procurement as per company norms and take client approval and ensure the best value for services and products.
Compliance and Safety:
- Internal and external audit coordination during the scheduled visit.
- Comply with all the and safety policies and procedures
- Complete the relevant training and maintain the documents
- Ensure that the facility complies with local safety regulations and standards.
- Organize emergency procedures, such as fire drills, evacuation plans, and first-aid training.
- Maintain records of inspections, incidents, and corrective actions.
Vendor and Contractor Management:
- Vendor meetings for operational improvements
- Track of the contract for renewal
- Issuance of timely Purchase order
- Follow up on NDC
- Vendor invoices to payment follow up
Facility Upgrades and Renovations:
- Identify and Propose for the facility upgrade or modifications
- Conduct regular inspections and audits to assess the need for repairs or maintenance
Emergency Management:
- Be a part in the management of facility-related emergencies and ensure preparedness
- To Be part of the ERT Team during Crisis & to take necessary action
- To coordinate with the client for Evacuation Drill as per Client requirement
- Maintain emergency equipment (e.g., Evac chair, fire extinguishers, first-aid kits) and ensure accessibility.
- Align with builders team
Inventory Control
- Stock Level Monitoring
- Conduct audits to compare physical inventory with recorded inventory
- Inventory orders and quantities accordingly to align with anticipated demand.
- Implement the "First In, First Out" (FIFO) or "Last In, First Out" (LIFO) methods, depending on the type of products
- Manage professional relationships with suppliers to ensure they can meet demand and provide timely delivery.
Driving team success
- Engaging the staff for Monthly Birthday celebrations, English class and trainings.
Reporting and documentation
- Maintain records of maintenance activities, safety checks, and compliance reports.
- Provide regular updates and reports to senior management on facility status, R&M, events
- Provide all the transport reports
