Job Summary
The School Administrator is responsible for overseeing the day-to-day administrative operations of the school, ensuring smooth functioning of all support services. The role involves coordinating with various departments, managing facilities, vendor relationships, statutory compliance, transportation, security, housekeeping, and supporting the school's academic and operational objectives.
Key ResponsibilitiesAdministration & Operations
- Oversee the daily administrative operations of the school.
- Ensure smooth functioning of all support services including housekeeping, security, transport, maintenance, and front office.
- Maintain school infrastructure and coordinate preventive and corrective maintenance activities.
- Supervise administrative staff and support personnel.
Facilities Management
- Monitor upkeep of classrooms, laboratories, library, sports facilities, and common areas.
- Coordinate repairs and maintenance with vendors.
- Ensure uninterrupted utility services including electricity, water, internet, and power backup.
Vendor & Procurement Management
- Identify, evaluate, and manage vendors and service providers.
- Obtain quotations, negotiate contracts, and monitor vendor performance.
- Ensure timely procurement of school supplies, furniture, equipment, and consumables.
- Maintain inventory records and stock control.
Transport Management
- Coordinate school transportation operations.
- Monitor route planning, vehicle maintenance, driver documentation, and safety compliance.
- Address transport-related concerns raised by parents and staff.
Security & Safety
- Ensure campus security through effective deployment of security personnel.
- Conduct regular safety inspections and emergency preparedness drills.
- Ensure compliance with fire safety norms and statutory safety requirements.
- Coordinate CCTV monitoring and access control systems.
Statutory Compliance
- Ensure compliance with local government regulations, labour laws, fire safety, health and environmental standards.
- Maintain records related to licenses, contracts, insurance, and statutory documents.
- Coordinate audits and inspections.
Budget & Cost Control
- Prepare and monitor the administration budget.
- Track expenses and optimize operational costs.
- Verify invoices and process vendor payments in coordination with the finance department.
Event & Logistics Management
- Coordinate logistics for school events, annual functions, examinations, workshops, and parent meetings.
- Arrange venue setup, transportation, hospitality, and resource allocation.
Stakeholder Coordination
- Work closely with the Principal, academic team, HR, Finance, IT, and external agencies.
- Address administrative concerns of parents, staff, and visitors professionally.
Documentation & Reporting
- Maintain administrative records and reports.
- Prepare monthly MIS reports on facilities, maintenance, transport, and administration.
- Develop and implement Standard Operating Procedures (SOPs).
Qualifications
- Bachelor's degree in Business Administration, Operations Management, Facility Management, or a related field.
- Master's degree is preferred.
Experience
- 4–8 years of experience in administration, facilities, or operations management.
- Experience in a school, educational institution, or large campus environment is preferred.
