Role Overview
The EXIM Coordinator will be responsible for supporting export and import operations, shipment documentation, logistics coordination, customs compliance, and communication with international suppliers, freight forwarders, and customers.
The ideal candidate should possess a basic understanding of international trade processes, import-export documentation, and logistics coordination. This role offers excellent exposure to global business operations and international supply chain management.
Key Responsibilities
Export Operations
- Coordinate export shipments from order receipt to final dispatch.
- Prepare and verify export documentation including:
- Commercial Invoice
- Packing List
- Shipping Bill
- Certificate of Origin
- Export-related declarations and supporting documents
- Coordinate with freight forwarders, CHA (Custom House Agents), and logistics partners.
- Track export shipments and provide timely updates to customers and internal stakeholders.
- Ensure compliance with export regulations and customer requirements.
Import Operations
- Coordinate import shipments of:
- Raw Materials
- Packaging Materials
- Accessories
- Finished Goods (if applicable)
- Follow up with suppliers for shipment schedules and documentation.
- Verify import documentation and coordinate customs clearance activities.
- Support timely processing of import shipments and delivery to warehouses.
Documentation & Compliance
- Maintain accurate records of import and export transactions.
- Ensure all shipment documents are complete and compliant with applicable regulations.
- Coordinate with regulatory and compliance teams for required approvals and certifications.
- Maintain proper documentation for audits and internal reviews.
Logistics Coordination
- Coordinate with shipping lines, freight forwarders, transporters, and customs agents.
- Monitor shipment timelines and ensure timely delivery.
- Resolve shipment-related issues and documentation discrepancies.
- Maintain shipment tracking reports and logistics MIS.
Reporting & Record Management
- Prepare and update daily shipment trackers and EXIM reports.
- Maintain records of shipping costs, duties, and freight expenses.
- Generate periodic reports for management review.
- Ensure proper filing and document control procedures.
Stakeholder Coordination
- Liaise with:
- International Suppliers
- Overseas Customers
- Freight Forwarders
- Customs Agents
- Banks
- Internal Procurement and Finance Teams
- Support smooth communication between all stakeholders involved in international trade operations.
Educational Qualification
- Bachelor's Degree in Commerce, Business Administration, Logistics, Supply Chain Management, International Business, or a related field.
Experience Required
- 1–2 years of experience in:
- Import & Export Operations
- Logistics Coordination
- International Trade Documentation
- Supply Chain Operations
- Experience in Cosmetics, Personal Care, FMCG, Manufacturing, or Trading industry will be preferred.
Skills & Competencies
- Basic knowledge of import-export procedures and international shipping.
- Understanding of EXIM documentation and customs processes.
- Good communication and coordination skills.
- Proficiency in Microsoft Excel and MS Office.
- Strong organizational and follow-up abilities.
- Attention to detail and documentation accuracy.
- Ability to work in a fast-paced environment and manage multiple tasks.
Preferred Knowledge
- DGFT procedures and export incentives.
- Customs clearance processes.
- Letter of Credit (LC) and international payment methods.
- Freight and logistics management.
- ERP systems such as Odoo or similar platforms.
