We export North American confectionery, snacks, and beverages to buyers across the Middle East, Asia, and Europe across 300+ brands. Every one of those orders depends on tight coordination between suppliers, freight forwarders, warehouses, and customers. This role owns that coordination.

Silver Top Trading is a Canada-based export consolidation business with 30 years of family history in FMCG trading and deep buyer relationships across the Middle East. We operate lean and modern which means this role is about judgment, communication, and follow-through - not just data entry.
About the Role
Twelve months in, you'll be the person our forwarders, suppliers, and customers message first. Shipments will move without the founder touching the B/L cycle. Payments will get chased before they're overdue, not after. You'll run the operational heartbeat of the business so the founder can focus on growth.
What You'll Own
- Shipment coordination, end to end. Get freight quotes from forwarders, manage the draft B/L cycle (collect info, circulate to forwarder/supplier, correct, confirm), and release surrendered B/Ls to clients once payment clears.
- Customer communication. Keep clients updated on ETD/ETA, share shipping docs, invoices, and packing lists, and follow up on outstanding payments - professionally and persistently.
- Supplier and warehouse coordination. Chase suppliers on order confirmations, stock availability, and pickup readiness, and coordinate with our US warehouse on receiving, container loading, and load plans so cargo is never the reason a booking slips.
- Order documentation. Issue sales orders, purchase orders, proformas, invoices, and packing lists and keep Zoho Books and our order trackers current.
- Price sheets and supplier comparison. Maintain customer-facing price lists and compare supplier quotes to identify the best cost on each item.
- Sales support. Assist with prospect research and outreach coordination as we expand into new markets.
What We're Looking For
Required:
- 3+ years in freight forwarding, export documentation, or international logistics - you know what a B/L, HS code, and SLI are without googling
- Experience communicating directly with freight forwarders, shipping lines, or overseas buyers
- Strong written English - most of the job happens over email and WhatsApp
- Proficiency with Excel and an accounting/ERP system (Zoho Books, QuickBooks, or similar)
- Comfortable working with AI tools (or genuinely eager to learn) - our workflows are built around them
- Proactive by default: you flag problems before they're asked about
- Familiarity with US export documentation (SLI, AES/ACE filings, Schedule B)
Nice to have:
- FMCG or food/beverage export experience, especially to GCC markets (shelf-life rules, UAE import requirements)
- Working hours flexibility to overlap with both North American suppliers and GCC customers.
