Role Overview
We are looking for a sincere and organized Back Office Executive who will be the backbone of our documentation and record-keeping processes. This is a support role that requires someone who takes pride in keeping things in order, meets deadlines quietly and consistently, and ensures nothing falls through the cracks.
Key Responsibilities
Documentation & Record Management
- Maintain and organize all physical and digital records including project files, agreements, MoUs, compliance documents, and correspondence
- Ensure all paperwork related to Government and CSR projects is complete, properly filed, and easily retrievable
- Track document submission deadlines and renewal dates and proactively alert the team
MS Office & Data Work
- Prepare letters, reports, meeting minutes, and internal documents in MS Word
- Maintain data registers, trackers, and MIS reports in MS Excel
- Create basic presentations in MS PowerPoint when needed
- Handle email correspondence professionally and promptly
Office Coordination
- Coordinate with program and field teams to collect required documents and reports on time
- Liaise with Government offices, banks, and other external agencies for document submission and follow-up when needed
- Support the management team with day-to-day administrative tasks
Compliance Support
- Assist in maintaining statutory and compliance-related records (registration certificates, audit reports, FCRA, 80G, 12A documents, etc.)
- Ensure all project-related utilization certificates, attendance records, and progress reports are properly maintained
Qualifications
- Graduate in any discipline (B.Com preferred)
- Minimum 2 years of experience in a back office, administrative, or documentation role
Must-Have Skills
- Proficient in MS Word, MS Excel, and MS PowerPoint — comfortable working on these tools daily
- Strong organizational skills with a habit of maintaining neat, systematic records
- Good written and spoken communication skills in Hindi and basic English
- Soft-spoken, professional, and pleasant in dealings with colleagues and external parties
- Highly sincere, punctual, and dependable — someone who takes ownership of their responsibilities
