HR Operations Executive – Group HR

Job Summary
Kayzan Group is looking for a highly organized and detail-oriented HR Operations Executive to join our Group HR team based in Tirur, Malappuram.
The selected candidate will be responsible for managing and supporting day-to-day HR operations for the Group's companies and employees in India and overseas locations. The role involves coordinating with employees, branch managers, department heads, HR focal points, and management to ensure smooth and accurate HR administration across multiple locations.
The ideal candidate should have strong experience in HR operations, employee documentation, HR administration, attendance and leave management, employee lifecycle processes, and maintaining accurate HR records.
Key ResponsibilitiesHR Operations & Employee Lifecycle
- Manage employee onboarding and joining documentation.
- Maintain accurate employee files and HR records.
- Handle probation tracking, confirmation follow-ups, and related documentation.
- Coordinate employee transfers, designation changes, salary revision documentation, and other employment changes.
- Manage resignation and exit processes, including clearance and final documentation coordination.
- Prepare HR letters, certificates, experience letters, NOCs, and other employee-related documents.
HR Administration & Records Management
- Maintain and regularly update the Group employee master database.
- Ensure employee records and documentation are accurate, complete, and properly maintained.
- Update HRMS and other internal HR records as required.
- Maintain organized digital and physical employee files.
- Monitor and follow up on missing employee documentation.
Attendance & Leave Management
- Coordinate attendance information with branches and departments.
- Follow up on attendance discrepancies and employee absence records.
- Maintain leave records and coordinate leave administration.
- Prepare attendance and leave-related reports for management and payroll coordination.
Branch & Overseas HR Coordination
- Coordinate with branch managers, department heads, administrators, and designated HR focal points.
- Support HR operations for employees in India and overseas Group locations.
- Collect and organize HR-related information and documentation from different countries and locations.
- Follow up with relevant stakeholders to ensure timely completion of HR requirements.
- Escalate important employee relations, disciplinary, compliance, and operational matters to the Group HR Manager.
Compliance & Document Tracking
- Maintain trackers for employee documents, contracts, probation dates, visas, work permits, passports, insurance, and other employment-related expiry dates.
- Coordinate with relevant departments and representatives regarding renewals and documentation.
- Ensure timely follow-up and reporting of upcoming expiries and pending HR requirements.
Payroll Coordination
- Prepare and verify HR-related payroll inputs, including new joiners, resignations, leave without pay, salary revisions, allowances, and other approved employee changes.
- Coordinate with the Finance and Payroll teams to ensure accurate employee information is provided on time.
HR Reporting
- Prepare regular HR reports and trackers.
- Maintain updated reports on manpower, employee movements, probation, leave, attendance, documentation, and other HR activities.
- Support the Group HR Manager with HR data and operational reports.
Requirements
- Bachelor's degree in Human Resources, Business Administration, Management, or a related field.
- Minimum 2–4 years of experience in HR Operations or HR Administration.
- Strong knowledge of employee lifecycle and HR operational processes.
- Experience managing employee records, documentation, attendance, and leave administration.
- Excellent organizational and follow-up skills.
- Strong communication skills in English.
- Proficiency in Microsoft Excel, Word, and other MS Office applications.
- Experience using HRMS systems will be an advantage.
- Ability to coordinate effectively with employees and managers across multiple locations.
- Ability to handle confidential employee information professionally.
- Strong attention to detail and ability to manage multiple tasks simultaneously.
Preferred Qualifications
- Experience supporting multi-location or multi-company HR operations.
- Exposure to overseas or international HR coordination.
- Experience in payroll input preparation and employee data management.
- Knowledge of HR compliance and employment documentation.
- Experience working in a corporate or group company environment will be an advantage.
