Job Summary
We are looking for a highly organized and responsible Senior Office Coordinator to manage daily office operations, support accounts activities, coordinate with schools, vendors, field teams, and ensure smooth execution of administrative and operational processes.
The ideal candidate should have strong coordination skills, attention to detail, basic accounting knowledge, and the ability to manage multiple responsibilities efficiently.
Key ResponsibilitiesOperations & Coordination
- Monitor daily transport tracking operations and service activities.
- Coordinate with schools, parents, vendors, field staff, and internal teams.
- Track and resolve operational issues within defined timelines.
- Maintain operational reports, records, and MIS.
- Follow up on pending tasks and ensure timely closure.
- Coordinate installation schedules, maintenance visits, and support activities.
- Maintain inventory records of devices, ID cards, SIMs, and related materials.
Accounts & Finance Support
- Generate quotations, invoices, and purchase orders.
- Maintain customer billing records and payment follow-ups.
- Track receivables and vendor payments.
- Coordinate with CA/accountant for accounting documentation.
- Verify expense statements and maintain expense records.
- Maintain bank, invoice, and GST-related documentation.
Administration
- Maintain employee records and office documentation.
- Support recruitment, onboarding, and employee coordination.
- Handle courier, stationery, and office procurement activities.
- Maintain contracts, agreements, and company records.
- Prepare reports and presentations as required by management.
Customer Service
- Attend customer calls and emails professionally.
- Ensure timely resolution and escalation of customer concerns.
- Maintain strong relationships with schools and stakeholders.
Required Skills
- Strong communication and coordination skills.
- Good knowledge of MS Excel, Word, and Google Sheets.
- Basic accounting and invoicing knowledge.
- Strong follow-up and problem-solving abilities.
- Ability to handle multiple tasks and priorities.
- Good documentation and reporting skills.
Qualifications
- Graduate in Commerce, Management, or related field.
- 3–8 years of experience in Operations, Administration, Accounts, or Office Coordination.
- Experience in service-based or technology companies preferred.
