The Administrative Receptionist will be responsible for front office management, administrative coordination, customer communication, office documentation, and supporting management in day-to-day operations. The ideal candidate should be comfortable using modern technology, AI tools, and office software to improve productivity and efficiency.
Key ResponsibilitiesFront Office & Customer Management
- Welcome customers, vendors, and visitors professionally.
- Handle incoming telephone calls and WhatsApp inquiries.
- Route calls and messages to the appropriate departments.
- Maintain visitor and inquiry registers.
Administrative Support
- Manage office files and digital documentation.
- Coordinate couriers, stationery, and office maintenance.
- Maintain attendance records and administrative registers.
- Schedule meetings and manage calendars.
Data & Office Coordination
- Perform accurate data entry and maintain customer and vendor databases.
- Coordinate with sales, accounts, warehouse, and dispatch teams.
- Prepare reports and maintain MIS records as required.
Accounts Support (Preferred)
- Assist the accounts department with basic accounting entries if required.
- Generate or verify invoices, receipts, and payment records.
- Coordinate with accounts for customer outstanding information.
AI & Technology Utilization
- Use AI tools such as ChatGPT, Microsoft Copilot, Gemini, or similar applications to:
- Draft emails and letters
- Prepare reports and meeting notes
- Create Excel formulas and summaries
- Improve documentation quality
- Assist with presentations and administrative tasks
- Be open to learning and implementing new AI tools to improve office efficiency.
Other Responsibilities
- Support management with special assignments.
- Maintain confidentiality of company information.
- Ensure smooth day-to-day office administration.
Required Skills
- Good communication skills (English, Hindi, Marathi preferred)
- MS Office (Word, Excel, Outlook)
- Google Workspace knowledge
- WhatsApp Business handling
- Email drafting
- Good organizational and multitasking skills
- Professional telephone etiquette
Preferred Skills
- Basic knowledge of Tally Prime or Tally ERP will be an added advantage.
- Knowledge of AI tools (ChatGPT, Copilot, Gemini, Claude, Canva AI, etc.) or willingness to learn AI-based productivity tools will be preferred.
Pay: ₹9,021.18 - ₹22,000.00 per month
