Job Title: HR Executive

ROLE PURPOSE
We are looking for a proactive, organised, and detail-oriented HR Executive to support end-to-end HR operations for our Thane office. The successful candidate will manage employee lifecycle processes, attendance and leave administration, payroll inputs, HR documentation, recruitment coordination, and employee queries while ensuring accuracy, confidentiality, and compliance with company policies and applicable Indian labour requirements.
1. HR Operations and Employee Lifecycle
· Manage and maintain employee records throughout the employee lifecycle, from joining through separation.
· Coordinate onboarding activities, including offer documentation, pre-joining follow-up, document collection, induction, employee-file creation, and HRIS updates.
· Track probation periods and coordinate confirmation documentation with reporting managers.
· Process employee transfers, promotions, salary revisions, role changes, and other employment amendments.
· Coordinate exit formalities, including resignation acknowledgement, clearance coordination, exit interviews, recovery details, final-settlement inputs, and issuance of relieving and experience letters.
· Maintain personnel files and digital HR records, ensuring all employee information is complete, current, and securely maintained.
2. Payroll, Attendance and Leave Administration
· Prepare and validate monthly payroll inputs, including attendance, overtime, incentives or allowances, deductions, salary changes, reimbursements, leave without pay, joining and separation data, and statutory deductions.
· Coordinate with the payroll team or external payroll partner to ensure payroll inputs are submitted accurately and within defined timelines.
· Maintain attendance records, shift schedules, timesheets, overtime data, and regularisation requests through the attendance or HRMS platform.
· Administer annual leave, sick leave, casual leave, unpaid leave, and other leave categories in accordance with company policy.
· Monitor leave balances, resolve discrepancies, and provide employees and managers with timely support on attendance and leave-related matters.
· Support preparation of final settlement data for departing employees, including outstanding leave, recoveries, and payroll adjustments.
3. HR Documentation and Compliance
· Draft, issue, and maintain HR documentation, including offer letters, appointment letters, employment contracts, confirmation letters, increment letters, transfer letters, warning letters, salary certificates, NOCs, and experience or relieving letters.
· Maintain records related to employee identity, address, bank details, education, previous employment, statutory declarations, and other joining documentation.
· Support compliance-related documentation, including records required under applicable labour laws, company policies, and internal audit requirements.
· Assist in maintaining statutory records and coordination relating to PF, ESIC, professional tax, gratuity, and other employment-related obligations, as applicable.
· Ensure confidential handling of employee compensation, personal information, disciplinary matters, and HR records.
4. Recruitment and Joining Coordination
· Support recruitment activities by scheduling interviews, coordinating with candidates and hiring managers, sharing interview details, and maintaining recruitment trackers.
· Communicate with selected candidates regarding offer documents, joining dates, required documentation, and pre-employment formalities.
· Coordinate background-verification documentation and follow up on pending candidate information, where applicable.
· Maintain accurate recruitment status reports, candidate databases, and onboarding trackers.
5. Employee Relations and Engagement
· Serve as a first point of contact for routine employee queries relating to attendance, leave, payroll, HR policies, documentation, benefits, and employee records.
· Support the Administrative Head in addressing employee concerns, grievance documentation, disciplinary processes, and policy communication.
· Coordinate employee engagement activities, celebrations, internal communication, recognition initiatives, and welfare programmes.
· Assist with training coordination, including participant nominations, attendance records, feedback collection, and training documentation.
· Support the annual or periodic performance appraisal process by maintaining trackers, sending reminders, and coordinating documentation.
6. Reporting and HR Systems
· Maintain accurate data in HRIS, attendance-management, payroll, and recruitment-tracking systems.
· Prepare monthly HR MIS and reports covering headcount, new joiners, exits, attendance, leave utilisation, overtime, attrition, recruitment status, and payroll-related data.
· Reconcile HR, attendance, and payroll data before monthly cut-off dates and proactively identify and resolve discrepancies.
· Use Excel to prepare employee reports, trackers, reconciliations, and management dashboards.
QUALIFICATIONS AND EXPERIENCE
· Bachelor’s degree in Human Resources, Business Administration, Commerce, or a related discipline.
· 3–5 years of experience in HR operations, HR generalist work, or employee lifecycle administration.
· Demonstrated experience preparing payroll inputs and managing attendance, leave, and employee documentation.
· Exposure to Indian payroll practices and employment-related statutory processes, including PF, ESIC, professional tax, and gratuity, is preferred.
· Experience using HRMS, payroll, biometric attendance, or employee-record management systems is desirable.
· Experience working in a fast-paced, multi-department environment will be an advantage.
SKILLS AND COMPETENCIES
· Strong working knowledge of Microsoft Excel, including formulas, filters, sorting, conditional formatting, lookup functions, pivot tables, and reconciliation.
· Strong attention to detail and accuracy, particularly in payroll, attendance, and employee-data management.
· Good written and verbal communication skills in English; Hindi and Marathi communication skills will be an advantage.
· Ability to manage multiple HR deadlines, particularly monthly payroll and reporting cycles.
· Strong coordination and follow-up skills with employees, managers, candidates, payroll teams, and external service providers.
· Professional maturity, discretion, and a high standard of confidentiality.
· Employee-focused approach with the ability to resolve routine queries promptly and professionally.
KEY PERFORMANCE INDICATORS
· Timely and error-free submission of monthly payroll inputs.
· Accuracy and completeness of attendance, leave, HRIS, and employee-file records.
· Timely completion of onboarding, confirmation, and exit formalities.
· Responsiveness and quality of resolution for employee HR queries.
· Timely issuance of employment letters and HR documentation.
· Accuracy and punctuality of monthly HR MIS and statutory-support documentation.
· Compliance with document-control, data-privacy, and internal HR-policy requirements.
Pay: ₹400,000.00 - ₹600,000.00 per year
