Role Summary
The Vendor Operations Executive will own the complete inbound supply process—from Purchase Order follow-up until successful material inward at our warehouse.
This role is responsible for ensuring vendors dispatch materials on time, pickups are planned efficiently, transport is coordinated, warehouse teams are informed in advance, and no Purchase Order remains unattended.
Success in this role is measured by timely material availability, proactive communication, and process improvements, not by the number of calls made.
Key ResponsibilitiesVendor Management
- Build strong relationships with suppliers.
- Follow up daily on every open Purchase Order.
- Obtain committed dispatch dates and update them regularly.
- Resolve vendor delays before they affect business.
- Escalate supply risks proactively.
Material Pickup & Logistics
- Plan vehicle placement for vendor pickups.
- Coordinate with transporters.
- Track material movement until warehouse arrival.
- Ensure dispatch documents are complete before pickup.
Internal Coordination
- Coordinate with Procurement, Stores, Inward, Warehouse, Quality and Accounts.
- Share expected arrival schedules.
- Communicate delays immediately.
- Support priority material planning.
Documentation & MIS
- Maintain live Purchase Order tracker.
- Update ETA for every pending PO.
- Prepare daily pending vendor report.
- Maintain vendor communication history.
Process Improvement
- Develop vendor scorecards.
- Identify recurring vendor issues.
- Suggest improvements to reduce lead time.
- Standardize vendor communication process.
Must Have
- Exceptional follow-up skills.
- Strong ownership mindset.
- Excellent communication.
- Advanced Excel / Google Sheets.
- ERP exposure (Zoho preferred).
- Ability to manage 40–60 active suppliers simultaneously.
- Comfortable working under deadlines.

Pay: ₹15,000.00 - ₹25,000.00 per month
