Job Description – Executive (Data Digitization)
Role Summary
We are seeking a detail-oriented, process-driven, and technically proficient Executive (Data Digitization) to manage day-to-day data digitization, document processing, accounting support, reporting, and other back-office operations across multiple business platforms.
The ideal candidate will have strong attention to detail, good numerical, analytical skills, flexibility in timings and adaptability to different requirements while maintaining required productivity, accuracy, confidentiality, and turnaround-time requirements.
Key Responsibilities
· Maintain operational and accounting data in various application systems and databases accurately and efficiently.
· Review/proofread data for errors, inconsistencies, discrepancies, missing information, duplicate entries, and incorrect records, and making necessary corrective actions.
· Prepare and sort source documents for entry and organizing digital and physical files.
· Handle high-volume data processing tasks while maintaining accuracy and consistency.
· Process images by cropping, resizing and changing the resolution and uploading the same to designated locations.
· Categorize the documents and images properly and ensure proper identification and traceability of all input documents received, and work consignments dispatched.
· Maintain timely operational and management reports.
· Follow defined Standard Operating Procedures (SOPs), data-processing guidelines, and quality standards.
· Perform quality checks on data, documents, images and reports.
· Follow data security, data integrity, confidentiality, and access-control requirements while handling business information.
· Maintain appropriate documentation and audit trails for completed activities.
· Adapt to new applications, tools, and process changes as required.
· Coordinate with customers and relevant teams as required to complete assigned activities.
· Adhere to the Cadence report wherever required.
· Promptly report regular status updates, productivity, and quality and follow up on pending activities and dependencies.
· Maintain professional communication with stakeholders.
Required Skills and Qualifications
· Master’s or bachelor’s degree in commerce or any other related field.
· Candidates with minimum 1-2 years of experience in the relevant field.
· Strong proficiency in MS Excel, including data sorting, filtering, formatting, lookups, and basic data analysis.
· Previous Experience working with ERP and CRM systems will be an added advantage.
· Ability to understand and handle accounting transactions desired.
· Strong attention to detail with a high degree of accuracy in data processing and validation.
· Good analytical and problem-solving skills with the ability to identify discrepancies and investigate data issues.
· Ability to manage multiple tasks, prioritize activities, and meet daily, weekly, and monthly deadlines.
· Strong written and verbal communication skills.
· Strong sense of ownership, confidentiality, discipline, and accountability.
· Exposure to international quality standards like ISO 9001 and documented procedures as part of Quality Management System (QMS) will be an added advantage.
· Willingness to learn new applications, workflows, and digital tools.
· Willingness to work in flexible shifts including night shifts is mandatory.
