We are looking for a reliable, disciplined, and execution-focused professional who can take ownership of import
coordination, order processing, dispatch tracking, sales support, inventory follow-up, and MIS reporting. This role is
critical to keeping business operations smooth, structured, and dependable as the company scales.
Key Responsibilities
Import & Logistics Coordination
- Coordinate with international suppliers, freight forwarders, CHA, and transport partners.
- Track shipments, customs clearance status, ETD/ETA, and delivery timelines.
- Handle and verify import documents such as invoice, packing list, BL/AWB, COO, and test certificates.
- Maintain complete shipment files and documentation records.
Order Processing & Dispatch Management
- Process customer orders accurately and on time.
- Coordinate with warehouse and transporters for dispatch scheduling and deliveries.
- Support invoicing, e-way bills, delivery challans, and sample dispatches.
- Track pending orders, open dispatches, and proof of delivery.
Sales Support & Customer Coordination
- Support founders with smooth execution of customer orders and commercial follow-ups.
- Share dispatch updates, documentation, and order status with customers.
- Maintain order tracking sheets, quotations support, and proforma invoice coordination.
Inventory & MIS Reporting
- Maintain updated stock records and coordinate inward/outward entries with warehouse partners.
- Track batch-wise stock, shortages, urgent replenishment requirements, and stock reconciliation.
- Prepare daily, weekly, and monthly MIS reports covering orders, stock, dispatches, and pending actions.
Candidate Profile
Education
- Graduate in Commerce, Business, Logistics, Supply Chain, or related field.
Experience
- 2 to 5 years of experience in operations, logistics, import-export, back-office, or sales support roles.
- Experience in MSME, distribution, specialty ingredients, pharma, chemicals, feed, or agri-input sectors will be
preferred.
Skills Required
- Strong working knowledge of MS Excel and report preparation.
- Basic understanding of import documentation, invoicing, dispatch, and inventory tracking.
- Good communication, coordination, and follow-up discipline.
- Ability to work with ownership, accuracy, and urgency.
