Operations Department Accounts & Operations Reports To Director / General Manager Location Kerala (Head Office + Cold Storage Facility) — field travel across distribution territory required Industry FMCG — Food Products Distribution Employment Type Full-time Position Summary We are looking for an experienced Senior Manager – Accounts & Operations to lead the day-to-day running of our FMCG food distribution business across Kerala. This is a hands-on leadership role responsible for accounts and financial control, warehouse and cold storage operations, distribution logistics, and office team management. The ideal candidate combines strong finance/accounting discipline with practical operations and people-management experience in a fast-moving, perishable-goods distribution environment, and is comfortable working with ERP systems for daily transaction and inventory control. Key Responsibilities 1. Day-to-Day Operations Management Oversee end-to-end daily operations across the office, warehouse, and cold storage facility to ensure smooth, uninterrupted business flow. Monitor cold storage conditions (temperature logs, power backup, maintenance schedules) to protect product quality and shelf life. Coordinate between sales, warehouse, and delivery teams to ensure timely dispatch and resolve day-to-day operational bottlenecks. Act as the primary point of escalation for operational issues — stock shortages, delivery delays, vehicle breakdowns, customer complaints, etc. 2. Accounts Management Manage day-to-day accounting operations — purchase, sales, expense, and bank entries — ensuring accuracy and timeliness. Oversee receivables and payables, monitor distributor/dealer credit limits, and drive timely collections. Manage cash flow planning and coordinate with banks for working capital, overdraft, and trade finance needs. Ensure statutory compliance — GST filing, TDS, EPF/ESI, and other applicable regulatory returns — in coordination with auditors and consultants. Prepare monthly P&L, budget vs. actual, and cost-control reports for management review. 3. Stock and Accounts Reconciliation Conduct regular physical stock verification at the warehouse/cold storage and reconcile with ERP/book stock. Investigate and resolve stock variances, damages, expiries, and shrinkage on a monthly basis. Reconcile distributor/dealer ledgers, bank statements, and vendor accounts periodically. Implement FIFO/FEFO stock rotation discipline in line with food product shelf-life requirements. 4. Route Planning Plan and optimise delivery routes across Kerala to minimise transit time, fuel cost, and vehicle downtime. Coordinate with drivers/logistics staff on daily delivery schedules and track adherence to planned routes. Continuously review route efficiency against sales coverage and adjust for new outlets, seasonal demand, or traffic/road conditions. 5. Order Booking Supervise the order booking process from sales executives/distributors through to invoicing and dispatch. Ensure orders are checked against stock availability, credit limits, and pricing/scheme approvals before processing. Coordinate with the warehouse team to ensure booked orders are picked, packed, and dispatched on schedule. 6. Office Staff Management Supervise and mentor office/back-office staff — accounts assistants, order booking staff, and warehouse coordinators. Allocate daily tasks, monitor performance, and conduct periodic reviews. Support recruitment, onboarding, and training of new office and operations staff. Maintain discipline around attendance, documentation, and standard operating procedures. 7. Purchase Indent Preparation & Forecasting Prepare purchase indents based on sales trends, stock-on-hand, and cold storage capacity. Forecast demand by SKU/category, factoring in seasonality, promotions, and shelf-life constraints of food products. Coordinate with suppliers/principals on order quantities, lead times, and delivery schedules to avoid stock-outs or overstocking. 8. ERP Familiarity Operate and maintain the company's ERP system for purchase, sales, inventory, and accounts entries. Generate MIS reports, stock statements, and financial dashboards from the ERP for management decision-making. Identify and flag process gaps or system issues, and coordinate with the ERP vendor/IT support for resolution and improvements. 9. Additional Responsibilities Ensure food safety and hygiene compliance (FSSAI norms) across storage and handling processes. Manage relationships with transporters, cold-chain vendors, and other third-party service providers. Monitor fleet maintenance, insurance, and statutory documentation for delivery vehicles. Handle customer/distributor complaints related to billing, short supply, or damaged/expired goods, and drive root-cause resolution. Liaise with statutory auditors, tax consultants, and government departments during audits or inspections. Support annual budgeting and contribute to cost-optimisation initiatives across the supply chain. Maintain proper documentation and audit trails for insurance claims (cold storage breakdown, transit damage, etc.). Candidate Requirements Qualifications B.Com / M.Com / MBA (Finance or Operations) or equivalent. 8–12 years of relevant experience, with a significant portion in FMCG distribution, food/perishables, or cold-chain operations. Prior experience managing both accounts and operations functions is strongly preferred. Skills & Competencies Strong working knowledge of accounting principles, GST/TDS compliance, and financial reporting. Hands-on experience with ERP systems (Tally, SAP Business One, Zoho, or similar) for inventory and accounts. Proficiency in MS Excel for reconciliation, forecasting, and MIS reporting. Strong organisational and people-management skills, with the ability to lead a small office/warehouse team. Good understanding of logistics, route planning, and distribution operations within Kerala. Fluent in Malayalam and English; working proficiency in Hindi is an advantage. Willingness to travel within Kerala and to be based at or near the cold storage/warehouse facility. Valid driving license preferred.
Pay: ₹45,000.00 - ₹60,000.00 per month
