Job Summary:
The Personal Secretary will provide comprehensive administrative and secretarial support to the Director/Managing Director, ensuring smooth coordination of daily activities, effective communication, schedule management, and confidentiality in handling business matters related to the FMCG operations.
Key Responsibilities:
- Manage and maintain the Director's calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings, prepare agendas, and record minutes of meetings (MOM).
- Screen, prioritize, and respond to emails, phone calls, and correspondence on behalf of the Director.
- Prepare presentations, reports, business documents, and official letters as required.
- Coordinate with various departments including Sales, Marketing, Finance, HR, Supply Chain, and Manufacturing for timely updates and action items.
- Follow up with regional teams, distributors, and other stakeholders on pending tasks and management directives.
- Arrange domestic and international travel bookings, accommodation, and itinerary planning.
- Maintain confidential records, agreements, and important company documents.
- Track deadlines, commitments, and ensure timely completion of assigned tasks.
- Organize meetings, conferences, and business events for senior management.
- Assist in preparing MIS reports, sales review presentations, and management dashboards.
- Handle reimbursement claims, expense statements, and other administrative requirements of the Director.
- Ensure proper filing and document management, both physical and electronic.
- Coordinate with external agencies, consultants, vendors, and government authorities whenever required.
- Perform any other duties assigned by the management from time to time.
Required Qualifications:
- Bachelor's Degree in Business Administration, Commerce, or any relevant discipline.
- Certification in Secretarial Practice or Executive Assistance will be an added advantage.
Experience:
- 1-3years of experience as a Personal Secretary, Executive Assistant, or similar role.
- Prior experience in an FMCG company will be preferred.

- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to maintain a high level of confidentiality and professionalism.
