Position Summary
We are seeking a dynamic individual who strives to deliver and achieve results beyond the call of duty. We are looking for an individual who will be the ‘gatekeeper to the CEO’s Office. The incumbent should be one who excels in calendar management, scheduling external meetings, travel arrangements, coordinating both personal & official complex arrangements, front-ending with relevant internal and external stakeholders, maintaining records of meetings and discussions as may be required. The role also involves following up with the board of directors, setting up required time with the CEO post positive due diligence and ensuring guests (both official and personal) are well attended. The ideal candidate should be well-presented, possess outstanding communication skills, demonstrate common sense and be enthusiastic about their work, while maintaining highest levels of confidentiality and discretion.
Key Responsibilities
- Act as the sole point of reference the office of CEO.
- Maintain records that are relevant to the CEO’s office in both electronic and physical form.
- Book personal & complex travel arrangements, plan itineraries etc.
- Running errands for official work.
- Efficient Calendar Management, Bill payment and schedule external meetings.
- Take minutes as directed and issue the appropriate updates, ensuring all actions are carried through till closure.
- Organizing required meetings, coordinate with attendees.
- Carry-out due diligence for the CEO as required.
- Following up on action items with the CEO and his team and getting it done within timelines outlined.
- Assist the CEO with Personal errands and requirements which includes:
- Manage vendor relationships.
- Ensure timely maintenance of household supplies, equipment, and services in co-ordination with vendors staff, driver, electrician etc.
- Make necessary arrangements for children as required.
- Organize and manage events, parties, and gatherings.
- Coordinate logistics, catering, and guest arrangements.
Core Skills & Experience
- Proven experience of minimum 10+ years as an Executive Assistant or in a similar administrative role, preferably in a corporate or high-net-worth promoter led setting.
- Courteous and professional should be able to communicate in Hindi, English & Bengali.
- Strong organizational skills with the ability to multitask and prioritize effectively.
