Position: Office Administrator
Job Summary
We are seeking a proactive and organised Office Administrator to support the day-to-day operations of our construction and architectural office. The ideal candidate will ensure smooth administrative functioning, coordinate with internal teams and clients, maintain records, and assist management in operational activities.
Roles & Responsibilities
1. Manage daily office operations and administrative activities
2. Handle incoming calls, emails, courier services, and visitor coordination
3. Maintain office files, project documents, agreements, invoices, and records
4. Coordinate with architects, site engineers, vendors, and clients for smooth communication
5. Prepare quotations, reports, purchase orders, and basic documentation
6. Track office expenses, petty cash, bills, and payments
7. Schedule meetings, appointments, and project follow-ups
8. Maintain attendance records and support HR/admin-related activities
9. Support procurement and material coordination with vendors and project teams
10. Ensure office cleanliness, stationery availability, and general office maintenance
11. Assist management with MIS reports and operational updates
12. Maintain confidentiality of company and client information
Required Skills
1. Good communication and interpersonal skills
2. Basic knowledge of MS Office (Excel, Word, Outlook)
3. Strong organisational and multitasking abilities
4. Ability to coordinate with multiple teams and vendors
5. Attention to detail and documentation skills
6. Basic accounting or billing knowledge is an added advantage
Qualification
UG Degree
1–2 years of experience in office administration preferred
Experience in the construction, architecture, or interior industry will be an advantage
