We are seeking a highly organized, tech-savvy, and confidential Executive Assistant to provide exceptional
support to the President/CEO of our IT company. You will be a strategic partner, managing the
President/CEO's schedule, communications, and workflow, ensuring smooth and efficient operations within
the fast-paced IT industry.
FUNCTIONAL RESPONSIBILITIES
- Project Management Support & Special Initiatives (IT-Specific):
- Assist in business-critical projects and special initiatives, requiring understanding of the company's goals, industry dynamics, and IT impact.
- Conduct research and gather information for presentations and meetings, staying up-to-date on current IT trends within MOL.
- Prepare meeting agendas, briefing materials, and presentations with a clear understanding of IT terminology and concepts.
- Follow up on action items and ensure project deadlines are met, adapting to the fast pace of the MOL’s IT landscape.
- Communication & Correspondence (Technical Proficiency):
- Manage all incoming and outgoing communication for the President/CEO, including emails, phone calls, and inquiries, often involving technical terminology.
- Compose clear and concise correspondence (including emails, letters, presentations, and reports) on behalf of the President/CEO, demonstrating understanding of relevant IT concepts.
- Act as a point of contact for internal and external inquiries, directing them appropriately and leveraging technical knowledge when necessary.
- Calendar & Schedule Management (IT Focus):
- Manage a complex calendar, scheduling appointments, meetings, and travel arrangements for the President/CEO, considering time zone differences and remote interactions.
- Utilize scheduling software and integrate online calendars for seamless management.
- Prioritize tasks and manage competing deadlines effectively in a dynamic IT environment.
- Anticipate the President/CEO's needs and proactively schedule time for industry events, and/or conferences
- Travel Coordination (Global Focus):
- Coordinate travel logistics for the President/CEO, including booking flights, hotels, and secure transportation in diverse locations.
- Prepare detailed itineraries with information on meetings, events, time zone considerations, and local resources, particularly for international travel.
- Ensure smooth travel experiences for the President/CEO, considering potential IT-related challenges like internet connectivity or software compatibility.
- Office Management (Technology Integration):
- Manage an organized and professional office environment for the President/CEO, leveraging technology for efficient operations.
- Maintain office supplies and equipment, including IT infrastructure within the President/CEO's workspace.
- Coordinate with other departments and staff to ensure seamless operations, with a focus on IT related needs and software integration.
- Confidentiality & Discretion:
- Maintain strict confidentiality on all sensitive information and matters pertaining to the President/CEO, including IT security protocols and proprietary information.
- Exercise discretion in handling inquiries and managing access to the President/CEO, with an awareness of potential IT security risks.
Requirements for the position:
- Business Awareness – Understanding of the company’s goals, IT industry trends, and the impact of technology on business operations.
- Analytical Thinking – Ability to summarize key information, track business metrics, and support decision-making.
- Communication & Coordination – Strong written and verbal communication skills to engage with stakeholders and ensure smooth workflow.
- Organization & Time Management – Ability to manage schedules, track action points, and handle multiple priorities efficiently.
- Tech-Savvy – Proficiency in Microsoft Office and collaboration tools like Teams, Slack, or Trello for effective task management.
- Confidentiality – High level of discretion in handling sensitive information and executive matters.
- Flexibility & Problem-Solving – Quick adaptability to changing priorities and proactive approach to resolving challenges.
Qualifications & Experience
- Bachelor's degree in a relevant field (IT, Business Administration, or similar) preferred. MBA on business ADMIN will be more preferred
- Minimum 8-12 years of experience as an Executive Assistant or similar role, with experience supporting executives in the IT industry a strong plus.
