Job Title: Admin Manager

Job Summary:
The Administration Manager will be responsible for overseeing all administrative and facility management functions within a manufacturing environment. The role ensures efficient operational support to production activities through effective management of infrastructure, services, vendors, compliance, and administrative systems. The incumbent will play a critical role in maintaining operational continuity, cost efficiency, and regulatory compliance across the facility.
Key Responsibilities
Administrative Operations
- Provide leadership for all administrative functions across the manufacturing facility
- Establish, implement and maintain administrative policies, systems and procedures
- Ensure seamless coordination between production, HR, security, stores and other support functions
- Maintain statutory records and ensure compliance with applicable regulatory requirements
Facility Management
- Oversee end-to-end facility operations including building maintenance, utilities, housekeeping and security services
- Ensure uninterrupted plant operations through effective preventive and corrective maintenance planning
- Manage Annual Maintenance Contracts (AMCs) for infrastructure, utilities and support systems
- Monitor energy consumption and implement initiatives for operational efficiency and cost reduction
Vendor & Contract Management
- Identify, evaluate and manage service providers for facility-related requirements
- Negotiate contracts and ensure adherence to agreed Service Level Agreements (SLAs)
- Monitor vendor performance and ensure compliance with contractual obligations
- Oversee procurement of administrative and facility-related goods and services
Safety, Health & Compliance
- Ensure compliance with all statutory, safety, health and environmental regulations applicable to the facility
- Support implementation and monitoring of safety standards and emergency preparedness systems
Budgeting & Cost Control
- Prepare and manage annual budgets for administration and facility operations
- Monitor expenditures and ensure adherence to approved budgets
- Implement cost optimization measures without compromising operational efficiency
Team Leadership
- Supervise administrative, housekeeping, security, and support staff
- Ensure adequate training, performance management and workforce discipline
- Foster a culture of efficiency, accountability and service excellence
Required Skills and Competencies
- Extensive experience in manufacturing plant administration and facility management
- Strong knowledge of statutory compliance and industrial safety standards
- Proven expertise in vendor management and contract negotiation
- Strong leadership and team management capabilities
- Excellent organizational, analytical and decision-making skills
- Effective communication and stakeholder management abilities
Qualifications:
- Any Degree
- Attention to detail and accuracy
· 8 years of proven experience (manufacturing/energy/aerospace sector preferred).
· Excellent negotiation, vendor management, and communication skills.
