Designation: Deputy Manager – Dispatch Department
Department: Dispatch
Job Purpose
To manage and oversee all dispatch operations in a timely and organized manner by coordinating with various departments, vendors, and courier partners while maintaining dispatch records, reports, and inventory to ensure smooth business operations.
Key Roles & Responsibilities
1. Dispatch Operations
- Plan and manage the dispatch of products, documents, certificates, pins, ID cards, promotional materials, and other official items.
- Ensure timely dispatch of all shipments within the defined Turnaround Time (TAT).
- Track dispatched parcels and resolve delayed, returned, or undelivered shipments.
2. Data Entry & Record Management
- Maintain accurate dispatch entries in the Online Dispatch Panel, Offline Dispatch Register, and Microsoft Excel.
- Maintain proper dispatch records and documentation for future reference and audits.
- Prepare daily, weekly, and monthly dispatch and MIS reports.
3. Stock Management
- Maintain dispatch-related inventory and stock records.
- Perform regular stock reconciliation and ensure inventory accuracy.
- Monitor stock availability and coordinate with the concerned department for replenishment whenever required.
4. Vendor & Courier Coordination
- Coordinate with courier companies and transport vendors for daily dispatch activities.
- Arrange pickups, monitor deliveries, and resolve courier-related issues.
- Verify courier charges, docket numbers, and shipment status whenever required.
- Ensure timely communication with courier partners for smooth dispatch operations.
- Coordinate with printing vendors for the dispatch of visiting cards, certificates, ID cards, banners, and other printed materials.
5. Department Coordination
- Coordinate with Sales, Accounts, Admin, Store, HR, Legal, and other departments for all dispatch-related activities.
- Ensure timely dispatch of documents, parcels, certificates, ID cards, promotional materials, and other official materials received from various departments.
- Verify recipient names, addresses, and contact details before dispatch to ensure accurate delivery.
- Provide the respective department with the Courier Docket/AWB Number after dispatch and share tracking details whenever required.
- Dispatch legal notices, confidential documents, and other official correspondence through Speed Post, Registered Post, or courier services.
- Maintain complete records of all inward and outward dispatches, including postal and courier dispatch details, proof of dispatch, and tracking information.
- Follow up on delayed, returned, or undelivered shipments and coordinate with the concerned department and courier partner to ensure timely resolution.
- Prepare and maintain courier MIS reports and verify courier bills/invoices before processing, whenever required.
Pay: ₹17,000.00 - ₹30,000.00 per month
