Job Summary:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate will have a strong background in office administration, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment while maintaining the highest level of confidentiality and professionalism.
Key Responsibilities
Executive Support:
● Manage the executive's calendar, schedule appointments, and coordinate meetings across time zones.
● Screen and prioritize emails, calls, and correspondence on behalf of the executive.
● Prepare agendas, presentations, reports, and meeting minutes.
● Coordinate domestic and international travel arrangements, including itineraries, visas, and accommodations.
● Handle confidential information with discretion and professionalism.
Administrative Management:
● Oversee day-to-day office administration, including vendor management, supplies, and facilities coordination.
● Maintain filing systems (physical and digital) and ensure documentation is organized and easily retrievable.
● Draft, proofread, and format business correspondence, memos, and reports.
● Assist with budget tracking, expense reports, and invoice processing.
● Coordinate internal and external events, meetings, and conferences.
Liaison & Coordination
● Act as the primary point of contact between the executive and internal/external stakeholders.
● Liaise with other departments to ensure smooth workflow and communication.
● Support HR and office management functions as needed (onboarding coordination, office policies, etc.)
Project & Process Support:
● Assist in tracking action items and deadlines from meetings.
● Support special projects, research tasks, and presentations as assigned.
● Identify opportunities to improve administrative processes and office efficiency.
Required Qualifications:
● Bachelor's degree in Business Administration, Management, or related field (preferred).
● 3–5 years of experience as an Executive Assistant,
● Proven experience in office/administrative management.
● Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and calendar/scheduling tools.
● Strong written and verbal communication skills.
● Excellent organizational and time-management skills.
● Ability to multitask and work under pressure with minimal supervision.
● High level of discretion and confidentiality.
