Position Overview
We are looking for a proactive and organized Admin cum HR Executive to manage the company's administrative and human resource functions. The ideal candidate will ensure smooth office operations, support recruitment and employee lifecycle management, maintain HR records, and coordinate administrative activities that contribute to the efficient functioning of the organization.
The role requires close coordination with management, architects, engineers, project teams, site staff, vendors, and external stakeholders.
Key Responsibilities
Human Resource Responsibilities
- Manage end-to-end recruitment, including job postings, candidate sourcing, interview scheduling, and onboarding.
- Coordinate employee induction and orientation programs.
- Maintain employee records, personal files, and HR documentation.
- Process attendance, leave records, and support monthly payroll preparation.
- Monitor employee confirmations, contract renewals, and exit formalities.
- Maintain HR policies, employee handbook, and statutory records.
- Coordinate employee engagement activities, training, and performance review processes.
- Handle employee grievances and support a positive workplace culture.
- Ensure compliance with labour laws and company HR policies.
Administrative Responsibilities
- Manage daily office administration and front office operations.
- Handle incoming calls, emails, courier services, and office correspondence.
- Maintain office supplies, stationery, and inventory.
- Coordinate travel, accommodation, and meeting arrangements.
- Manage office maintenance and coordinate with service providers and vendors.
- Maintain company documents, agreements, licenses, and statutory records.
- Support procurement of office requirements and monitor vendor performance.
- Coordinate with project sites for administrative support when required.
Documentation & Compliance
- Maintain employee attendance, leave, and payroll-related records.
- Prepare HR and administrative reports for management.
- Ensure proper filing and documentation of company records.
- Assist in statutory compliance related to labour laws, PF, ESI, and other applicable regulations.
- Support audits by maintaining accurate records and documentation.
Coordination & Communication
- Act as the primary point of contact for employees regarding HR and administrative matters.
- Coordinate with architects, engineers, project managers, and site teams for manpower and administrative requirements.
- Facilitate communication between management and employees.
- Support management in implementing organizational policies and operational procedures.
Required Qualifications
- Bachelor's Degree in Human Resources, Business Administration, Commerce, or a related field.
- MBA/PGDM in Human Resource Management is an added advantage.
- 2–5 years of experience in HR and Administration.
- Experience in the construction, architecture, infrastructure, or real estate industry will be preferred.
Required Skills
- Strong knowledge of recruitment and onboarding processes.
- Understanding of payroll support, attendance management, and HR documentation.
- Knowledge of labour laws, PF, ESI, and statutory compliance.
- Excellent communication skills in Malayalam and English.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Experience with HRMS, ERP, or payroll software is an advantage.
- Strong organizational, documentation, and multitasking abilities.
- Ability to maintain confidentiality and handle sensitive information.
Pay: ₹20,000.00 - ₹30,000.00 per month
