Senior Executive – Accounts Payable (Rental & Property Accounting)
Job Summary
We are looking for a detail-oriented and process-driven Senior Executive – Accounts Payable
to manage the end-to-end accounting and payment process for rental, CAM (Common Area
Maintenance), amenities and other property-related invoices. The role will be responsible for
ensuring accurate and timely booking, posting, reconciliation and payment of invoices while
maintaining strong financial controls and compliance.
The candidate will work closely with Business Development, Legal, Taxation and other
internal stakeholders to ensure that rental obligations are accurately accounted for, contractual
terms are adhered to, and all payments are processed within agreed timelines.
Key Responsibilities
1. Rental & Property Invoice Processing
Manage end-to-end processing of rental, CAM, amenities and other property-related
invoices.
Verify invoices against rental agreements, amendments, approved terms and supporting
documents.
Ensure accurate booking and posting of invoices in the accounting/ERP system.
Ensure invoices are processed and paid within agreed contractual and internal timelines.
Monitor upcoming rental payment due dates and ensure timely processing to avoid
interest, penalties or business escalations.
Identify and resolve discrepancies relating to rent, CAM, amenities, deposits, escalation
clauses and other property charges.
2. Reconciliation & Accounting Controls
Prepare and maintain various rental and Accounts Payable reconciliation reports.
Perform regular GL reconciliations and ensure outstanding items are investigated and
cleared on a timely basis.
Reconcile landlord statements/ledgers with company records and identify differences.
Track advances, security deposits, accruals, debit/credit notes and other property-related
balances.
Ensure appropriate accounting treatment and accurate allocation of expenses to
respective stores, cost centres and GL accounts.
Ensure there are no duplicate or erroneous payments through appropriate invoice and
vendor validation controls.
3. Agreement & Contract Verification
Review rental agreements and amendments to validate key financial terms, including:
o Monthly/annual rent
o Rent escalation
o CAM and amenities charges
o Payment terms and due dates
o Security deposits
o Tax/GST provisions
o Other contractual charges
Ensure system records and payment schedules are aligned with the latest contractual
terms.
Coordinate with the Legal and Business Development teams for clarification of
contractual provisions and discrepancies.
4. GST & Taxation Coordination
Coordinate with the Taxation/GST team for resolution of GST-related issues concerning
rental, CAM and amenities invoices.
Validate applicable GST requirements and ensure invoices are processed in accordance
with tax guidelines and internal processes.
Follow up on GST discrepancies, incorrect tax invoices, credit notes and other tax-related
exceptions.
Ensure timely resolution of issues that may impact invoice processing, payments or input
tax credit.
5. Stakeholder Management
Coordinate with Business Development, Legal, Taxation, Finance and other relevant
teams for timely resolution of rental-related matters.
Liaise with landlords/property owners and internal stakeholders regarding invoice
discrepancies, payment status and account reconciliations, wherever required.
Respond to escalations relating to delayed payments, incorrect deductions, outstanding
balances and contractual disputes.
Maintain effective communication with stakeholders to ensure timely closure of open
items.
6. Process Improvement & Automation
Identify opportunities to streamline and standardize Accounts Payable processes.
Drive automation of repetitive/manual activities to improve processing efficiency and
reduce errors.
Develop and maintain MIS, trackers and dashboards for monitoring rental payments,
pending invoices, reconciliations and exceptions.
Identify process gaps and recommend improvements to strengthen internal controls.
Support implementation and enhancement of ERP/system-based workflows and
automated payment controls.
Continuously review processes to improve accuracy, turnaround time and operational
efficiency.
7. Compliance & Internal Controls
Ensure adherence to internal SOPs, approval matrices and financial control
requirements.
Ensure all rental-related payments are supported by appropriate documentation and
approvals.
Maintain proper audit trails for invoice booking, approvals, reconciliations and payments.
Support internal and statutory audits by providing relevant documents, reconciliations
and explanations.
Ensure timely closure of audit observations relating to Accounts Payable and rental
accounting.

Candidate Profile
Qualification:
Graduate in Commerce/Finance/Accounting.
CA Inter, CMA Inter, equivalent qualification would be an added advantage.
Experience:
Approximately 3–6 years of relevant experience in Accounts Payable, preferably in
retail, real estate, property management or a multi-location business.
Experience in rental accounting, CAM, landlord reconciliation and invoice processing will
be preferred.
Key Skills:
Strong understanding of Accounts Payable processes.
Good knowledge of accounting principles and GL reconciliation.
Understanding of GST and taxation aspects related to invoices.
Strong Excel skills, including reconciliation and data analysis.
Experience working on ERP/accounting systems such as SAP, Oracle, Microsoft
Dynamics or similar platforms.
Strong attention to detail and numerical accuracy.
Good stakeholder management and communication skills.
Ability to manage multiple deadlines and high-volume transactions.
