A Tender Assistant in the fire protection and firefighting industry is responsible for supporting the preparation, coordination, and submission of tenders for fire safety systems, equipment supply, AMC services, and installation projects. The role acts as a bridge between technical, commercial, and procurement teams to ensure accurate and timely bid submissions in compliance with industry standards and client requirements.
Key Responsibilities
- Searching and tracking new tender opportunities from government and private portals , other procurement platforms.
- Preparing and compiling technical and commercial tender documents.
- Assisting in submission of RFQs (Request for Quotations), RFPs (Request for Proposals), and e-tenders.
- Coordinating with technical teams, vendors, and management for required documents and pricing details.
- Preparing BOQ (Bill of Quantities) for firefighting and fire alarm systems.
- Maintaining records of submitted tenders, quotations, and awarded projects.
- Ensuring compliance with tender requirements, technical specifications, and statutory regulations.
- Uploading documents on online tender portals and monitoring submission deadlines.
- Preparing company profiles, experience certificates, compliance statements, and supporting documents.
- Assisting in cost estimation and comparison sheets for firefighting equipment and systems.
Required Qualifications
- Diploma or Degree in Mechanical / Electrical / Automobile / Production Engineering.
- Engineering background is compulsory.
- 1.2 experienced candidates can apply.
Required Skills
- Basic knowledge of firefighting systems such as hydrants, sprinklers, fire extinguishers, fire alarm systems, and suppression systems.
- Familiarity with tender documentation and procurement procedures.
- Good knowledge of Microsoft Excel, Word, and email drafting.
- Strong communication and coordination skills.
- Attention to detail and documentation accuracy.
- Ability to work under deadlines and manage multiple tender submissions.
Preferred Knowledge
Understanding of fire safety standards such as NFPA and local fire regulations.
Experience with GeM portal and e-tendering platforms will be an added advantage.
