Job Roles & Responsibilities:
1. Tender Identification & Evaluation
- Monitor tender portals, newspapers, and procurement websites for new opportunities.
- Analyze tender documents (RFP, RFQ, EOI, ITT) to assess eligibility and requirements.
- Evaluate feasibility, risks, and profitability before submission.
2. Documentation & Proposal Preparation
- Prepare and compile tender documents as per client requirements.
- Coordinate with technical, finance, legal, and operations teams for required inputs.
- Ensure all supporting documents (certifications, registrations, financial statements, etc.) are accurate and up to date.
- Draft technical and commercial proposals.
3. Compliance & Submission
- Ensure full compliance with tender requirements and submission guidelines.
- Verify BOQ (Bill of Quantities), pricing, and cost estimates.
- Submit tenders (online/offline) within deadlines.
- Maintain records of submitted bids and related correspondence.
4. Vendor & Client Coordination
- Liaise with government departments, clients, and vendors for clarifications.
- Attend pre-bid meetings and site visits when required.
- Respond to client queries and submit clarifications/addendums.
5. Costing & Pricing Support
- Assist in cost estimation and pricing strategies.
- Work closely with the finance team to ensure competitive and profitable pricing.
- Analyze competitors and market trends.
6. Contract Management Support
- Review contract terms and conditions.
- Support contract negotiation processes.
- Assist in post-award documentation and handover to project teams.
7. Record Keeping & Reporting
- Maintain a tender database (submitted, won, lost).
- Prepare periodic reports on tender performance and success rates.
- Track bid bonds, performance guarantees, and EMD submissions.
8. Compliance & Regulatory Requirements
- Ensure adherence to company policies and procurement regulations.
- Maintain updated knowledge of government procurement rules and industry standards.
Key Skills Required
