Job Summary
The IPD & OPD Manager is responsible for the smooth functioning of In-Patient Department (IPD) and Out-Patient Department (OPD) operations. The role involves managing patient flow, coordinating with medical and non-medical departments, ensuring excellent patient experience, maintaining operational efficiency, handling staff supervision, and achieving departmental revenue and service quality targets.
Key Responsibilities
OPD Management
Ensure smooth registration, appointment scheduling, and consultation processes.
Monitor daily OPD patient flow and minimize patient waiting time.
Coordinate with consultants regarding OPD schedules and availability.
Ensure proper management of doctor chambers and consultation rooms.
Monitor OPD revenue, patient footfall, and specialty-wise performance.
Address patient concerns, complaints, and feedback promptly.
Ensure proper documentation and maintenance of OPD records.
Coordinate with marketing and PRO teams for OPD patient conversion initiatives.
IPD Management
Oversee admission, transfer, and discharge processes.
Ensure seamless coordination between nursing, doctors, billing, pharmacy, diagnostics, and housekeeping departments.
Monitor bed occupancy and bed turnover rates.
Ensure timely preparation of discharge summaries and final billing.
Facilitate patient and family communication during hospitalization.
Handle patient grievances and escalation management.
Ensure proper documentation for insurance, TPA, CGHS, ECHS, and corporate patients.
Monitor IPD patient satisfaction and service quality standards.
Team Management
Supervise reception, admission desk, billing coordinators, ward coordinators, and patient relationship executives.
Conduct regular staff training on patient handling, communication, and service excellence.
Prepare duty rosters and manage manpower allocation.
Monitor staff performance and productivity.
Ensure discipline and adherence to hospital policies.
Operational Excellence
Develop and implement SOPs for OPD and IPD operations.
Monitor departmental KPIs and operational efficiency.
Ensure compliance with NABH standards and hospital policies.
Coordinate with all clinical and support departments for smooth operations.
Conduct daily operational rounds and review meetings.
Maintain high standards of patient care and customer service.
Revenue & Business Development
Monitor daily revenue generation from OPD and IPD services.
Improve consultant utilization and patient conversion rates.
Increase bed occupancy through effective coordination.
Support marketing initiatives, health camps, and outreach programs.
Analyze departmental performance reports and suggest improvement strategies.
Reporting & MIS
Prepare daily, weekly, and monthly reports on:

IPD Admissions
Bed Occupancy Rate
Average Length of Stay (ALOS)
Discharges
Revenue Performance
Patient Satisfaction Scores
Complaints and Resolution Status

Qualifications
Bachelor's Degree in Hospital Administration, Healthcare Management, Business Administration, or related field.
Master's Degree (MHA/MBA Hospital Management) preferred.
Experience
5+ years of experience in hospital operations.
Minimum 2 years of experience managing IPD and OPD operations in a multispecialty hospital.
Experience with NABH-accredited hospitals preferred.
