Job Summary
The Front Office Executive is the first point of contact for guests and visitors, responsible for delivering a warm welcome and ensuring a seamless guest experience. The role involves handling inquiries, managing reservations, coordinating with internal departments, maintaining records, and providing exceptional customer service while representing the organization's brand and values.
Key Responsibilities
Guest Relations
- Welcome guests and visitors with professionalism and courtesy.
- Handle guest check-in and check-out efficiently (for hotels).
- Assist clients with venue inquiries, bookings, and event-related information.
- Resolve guest concerns promptly and escalate issues when necessary.
- Ensure a memorable guest experience by anticipating customer needs.
Front Desk Operations
- Manage incoming phone calls, emails, and walk-in inquiries.
- Schedule appointments, site visits, and meetings.
- Maintain visitor logs and reception records.
- Handle room reservations, banquet inquiries, and booking confirmations where applicable.
- Coordinate transportation or other guest requirements.
Administrative Responsibilities
- Maintain accurate records and filing systems.
- Prepare daily reports on guest arrivals, departures, and inquiries.
- Process payments, invoices, and receipts according to company policies.
- Ensure reception and lobby areas remain clean, organized, and welcoming.
- Monitor office supplies and coordinate replenishment.
Coordination
- Coordinate with Housekeeping, Food & Beverage, Sales, Maintenance, and Security departments.
- Support event coordination by assisting guests, vendors, and organizers.
- Communicate guest requests effectively to relevant departments.
Customer Service
- Maintain high standards of hospitality and professionalism.
- Respond promptly to guest feedback.
- Build positive relationships with repeat customers and corporate clients.
Required Qualifications
- Bachelor's degree or Diploma in Hospitality, Hotel Management, Business Administration, or a related field.
- 1–3 years of experience in front office, reception, or customer service (freshers with excellent communication skills may also apply).
- Proficiency in MS Office and hotel/property management software is an advantage.
- Excellent verbal and written communication skills in English; knowledge of Malayalam and Hindi is desirable.
Pay: ₹15,000.00 - ₹21,000.00 per month
