We are looking for an organized and dependable HR Operations Executive to manage the day-to-day people, administrative, and basic accounting operations of our growing company.
This is a hands-on role suited for someone who enjoys working across HR, accounts coordination, and business operations in a small-team environment.
The role is not intended to replace a Chartered Accountant or specialist finance professional. Complex taxation, statutory filings, audits, and specialist compliance matters will be handled with external professionals where required.
Key ResponsibilitiesHuman Resources
- Maintain employee records, attendance, leave, and HR documentation.
- Coordinate employee onboarding and offboarding.
- Prepare offer letters, employment documents, and other routine HR correspondence.
- Coordinate recruitment activities including job postings, resume screening, interview scheduling, and candidate communication.
- Maintain leave and attendance records.
- Coordinate payroll inputs such as attendance, deductions, incentives, and reimbursements.
- Support periodic employee performance reviews.
- Assist management with HR policies and internal procedures.
- Help organize employee engagement and team activities.
- Act as the first point of contact for routine employee HR queries.
Accounts & Bookkeeping
- Maintain accurate records of day-to-day business expenses and income.
- Record vendor invoices, bills, payments, and receipts.
- Maintain accounts payable and receivable trackers.
- Prepare and issue customer invoices where required.
- Monitor outstanding payments and follow up on receivables.
- Perform basic bank and transaction reconciliation.
- Maintain employee reimbursement records.
- Maintain petty cash and expense documentation.
- Organize bills, invoices, receipts, and accounting documents.
- Prepare monthly expense summaries and basic financial reports for management.
- Coordinate accounting information with the company's CA, tax consultant, or external accountant.
- Assist in preparing information required for GST, TDS, payroll, and other statutory filings.
Payroll Coordination
- Prepare monthly payroll inputs.
- Verify attendance, leave, salary adjustments, incentives, and reimbursements.
- Maintain salary and payroll records.
- Coordinate salary processing with management.
- Maintain confidentiality of salary and employee information.
- Assist with payslip preparation and payroll documentation.
Business Operations & Administration
- Manage routine office and company administration.
- Coordinate with vendors and service providers.
- Maintain company subscriptions, software accounts, and renewal records.
- Track recurring business expenses and payments.
- Coordinate purchasing of office equipment and supplies.
- Maintain internal operational trackers and documentation.
- Help create and maintain standard operating procedures.
- Follow up on operational tasks and deadlines.
- Maintain organized digital records of important company documents.
- Support management with routine operational reporting and coordination.
What This Role Does Not Require
The HR Operations Executive will not independently be responsible for:
- Statutory audits
- Finalization of company financial statements
- Complex taxation matters
- Legal interpretation
- Company-secretarial responsibilities
- Independent GST or income-tax advisory
- Complex financial modelling
These activities will be handled by management or qualified external professionals.
Requirements
- Bachelor's degree in Commerce, Business Administration, Human Resources, Finance, Management, or a related field.
- 1–3 years of experience in HR, administration, accounts, operations, or a similar role.
- Basic understanding of bookkeeping and accounting concepts.
- Comfortable working with Excel or Google Sheets.
- Good organizational and documentation skills.
- Ability to manage multiple responsibilities and prioritize work.
- Strong written and verbal communication skills.
- High level of discretion when handling employee and financial information.
- Attention to detail and ability to maintain accurate records.
- Comfortable working in a small and growing company environment.
