Job Summary:
The Head of Operations is responsible for leading and overseeing the core support departments – Operations, Accounts, Facility, Admin, and Purchase. The role focuses on aligning departmental functions with business goals, enhancing operational efficiency, driving structured workflows, and ensuring consistent performance improvement through regular reviews and strategic initiatives.
Key Responsibilities:
HO Operations Ownership
- Own the complete functioning of HO on a day-to-day basis
- Ensure Admin, Housekeeping, and Facility are running to standard without MD involvement
- Proactively identify and fix operational gaps before they escalate
Direct Team Management
- Directly manage Admin, Housekeeping, Facility, and MIS teams
- Set clear expectations, review performance, resolve issues, and build team accountability
Cross-Department Coordination
- Coordinate with Accounts, IT, HR, and all other departments to ensure HO-level dependencies are resolved
- Follow up, push, and close open items — takes ownership until resolution
Ticket & Issue Management
- Own the review and resolution of all HO operational tickets — IT, Admin, Facility
- Ensure issues are logged, assigned, tracked, and closed within defined timelines
MIS Management
- Oversee MIS team — ensure reports are accurate, timely, and distributed to the right stakeholders
- Flag data issues and reporting gaps proactively
Facility & Vendor Oversight
- Oversee HO and branch facility operations — ensure the Facility Manager is managing vendors, service levels, and maintenance to standard
- Review vendor performance and SLAs periodically — step in to resolve escalations when required
New Project Coordination
- Coordinate implementation of new projects and initiatives at HO level
- Liaise with relevant departments, track progress, and report status to MD
Compliance & Audit Readiness
- Ensure HO operations are audit-ready at all times
- Documentation, records, vendor contracts, and facility compliance are maintained and up to date
Reporting
- Report on HO operational status on a defined cadence — open issues, resolved items, upcoming tasks, and risks
